Aguilar Industries DBA The Carport Network April 2017 — April 2020 Bilingual Office Manager Overseeing three companies for the Owner; Responsibilities include maintaining the office running smoothly in charge of opening and closing the office, respond to all emails; the New Contracts sent to me from dealers I would need to review the pricing and make sure it was accurate on the Builder before accepting the Contract, if approved then I would continue to print out and save on cloud (all Contracts had to be placed on drive under the corresponding dealer for Tax purposes at the end of the year.), then I would check the database for the customer if not in the system I would move forward to input all information; Email the manufacturer and wait on approval to receive Order, once approved by them I would assign them the Contract and send them sign document from customer along with any pictures. (if Structure was underpriced I would inform the dealer and wait on corrections) collected and filed all new employees documents, training new hires, order office and some warehouse materials, updating inventory log, creating BOL’s for Local and Out of State shipments, creating Invoices and receiving payments. On Out of State accounts I would need to call clients and collect partial or full payments before creating work orders for the shop, once materials were in production I would call to collect the final balance before scheduling a flatbed to pick up materials. Keeping logs of all sales and types of payments (ect. Cash, credit card or check) every Monday updating Sales Log and creating a Report to email to the Accounting Department. ( Report would include any credit card receipts, Bank deposits for any cash collected, incoming mail, and any receipts for any purchases made for office or warehouse needs.) At the end of the Month I would make sure the Monthly Report was accurate and complete, made copies of all Invoices, receipts, mails ect; get a package together with the entire Sales Log and Report and mail it to the Accounting. Resolve any issues local or out of state customers had. Worked hand in hand with scheduling, manufacturers and installation crews to get time and dates for customers to get their Carport, Shed, Garage or Metal Building installed asap. Filled out different forms for those customers who required plans for their metal structure, once the customer would approve forms and design to be correct I would send to A&A Engineers to proceed with plans. Worked with different dealers to receive new Contracts, then proceeded to input in the database and assign orders to different manufacturers. During spare time I would also price out different quotes for potential customers depending on the style of Steel Structure requested, then proceed to close the sale. Posted on all social media for Contractor Steel Supply DBA Interstate Steel Supply and Carport Concepts, made flyers and business cards; replied to potential customers and assisted them with information on sizes and prices for different structures or individual materials. Changed promotions and discounts weekly or bi-weekly depending on warehouse inventory..
