Position Description
Responsible for all aspects of compliance with USCIS guidelines for I-9 and E-Verify employment verification laws and regulations for all part-time and full-time employees including foreign nationals.
Responsibilities and Duties (*Essential Functions)

*Maintains subject matter expertise on all aspects of Form I-9, E-Verify, I-9 Reverification, and reporting through the College's electronic systems (i.e., Neogov, E-Verify, Sprintax, and Colleague)
*Ensures proper documentation is collected to complete electronic process for I-9 and E-Verify, coordinates and schedules I-9 and E-Verify employment authorization documents' review to ensure employee eligibility to work in the US; completes electronic process for I-9 and E-Verify; uploads proper documents to remain compliance with USCIS requirements
*Tracks I-9 and E-Verify records for all new hires and provides education, communication, and awareness to HR, Accounting, and employees to avoid missed deadlines and maintain compliant processes
*Communicates with foreign national employees to collect NC Foreign Visitor Information form, visas, employment authorization documents, passports, I-94s, I-20s, etc. to prepare foreign national tax analysis before the first payment is issued to the employee
*Enters data into third party software system used to provide analysis of tax and treaty rules to ensure accurate withholding of federal and state taxes; reviews and verifies tax forms (i.e., W-4, NC-4, W-9, NC-4 NRA, etc.) with the foreign national employee for accuracy, completion, and timely submission to payroll
*Manages annual calendar year renewal/audit process for foreign national employees to ensure proper taxation and timely updates of tax forms are provided to payroll
*Tracks expiring work authorization documents and communicates deadlines for the completion of reverification to employees and HR Consultants; Notifies HR Consultants of any issues requiring further investigation and follow-up.
Routinely audits internal processes and proper record keeping to ensure employment verification compliance
Collaborates with vendor with software problems, issues or basic questions when needed
Identifies and resolves data entry errors on employees' I-9 forms
Maintains knowledge of current USCIS and DHS/SSA requirements including acceptable documents, automatic extensions, document retention, etc.
Researches resources and documents resolutions to situations involving additional documentation requirements, tentative non-confirmations, employment authorization extensions, receipts, employee rights and resources, penalties, and all aspects of I-9/E-Verify compliance
Works directly with vendors to ensure proper operation of systems related to I-9/E-Verify tasks such as the Onboarding portal, E-Verify website, etc.
Responds quickly to E-Verify outages and version updates, and communicates accordingly to HR
Acts as E-Verify System Administrator, managing system access approval processes for all new and/or separated E-Verify users
Responds to I-9 related questions and provides guidance to employees, HR, and Accounting on all aspects of I-9/E-Verify submissions and corrections
Consults with HR Consultants and/or immigration attorney on situations when needed

Qualifications
Knowledge, Skills and Abilities:

Minimum Requirements:
High school diploma or equivalent
Two years of related administrative experience
Demonstrated experience with I-9s and E-Verify
Experience with onboarding foreign national employees
Preferences:
Associate's degree
Experience working in a Human Resources office
Experience with onboarding documents and/or applicant tracking systems
