Job Description

The Accounts Payable Specialist is responsible for the payment of goods and services purchased by the organization. This role also serves as an auditor, ensuring that invoices are accurate and that proper accounting procedures are followed for the purchasing and payment of goods and services.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Reviews all invoices for appropriate documentation and approval prior to payment.

Enters all invoices into Netsuite either manually or by csv upload.

Enters journal entries as needed to record ACH/wire payments.

Notifies approvers when checks are ready for signatures within the system.

Mails/Distributes printed checks as required.

Maintains record of vendor I-9’s, insurance, and other required documentation.

Answers all vendor inquiries.

Maintains all accounts payable reports.

Assists Association personnel with accounts payable inquiries as necessary.

Files approved invoices appropriately.

Assists with monthly closings.

Prepares analysis of accounts, as required.

KNOWLEDGE, SKILLS & ABILITIES

Associate degree in accounting or relevant combination of education, certification and experience.

Training or experience in computer applications. Preferred experience with non-profits and/or Netsuite software.

WORK CONDITIONS & PHYSICAL DEMANDS:

Work is performed in climate-controlled office setting, were exposure to conditions of extreme. heat/cold, poor ventilation, fumes and gases is unlikely.

Noise level is moderate and includes sounds of normal office equipment (printers, fax machine, phones, etc.)

No environmental hazards are encountered in normal performance of job duties.

Work requires a flexible work schedule due to internal and external meetings. Occasional travel may be required; must have reliable transportation.

Ability to effectively communicate orally and in writing.

Physical ability to move 25 pounds occasionally.

Visual and auditory ability to identify and respond to environmental and other hazards of the site and staff behavior.

Physical mobility and endurance to perform tasks while standing/walking for long periods of time (60 minutes or more).

Ability to safely and properly use office equipment.

8:30am - 5:00pm
