Provide administrative support services to entire office of 100 employees

Supervise a clerical staff of three

Track and maintain four of the offices main budgets.

Monitor and maintain tracking systems for the Area Office as identified by the Area Administrative Manager including the allocation, authorization and payment of services and administrative support costs.

Review, process and monitor employee transactions including but, not limited to: out-of-authorization and travel arrangements for employees.

Assist AAM in Contract Management including annual renewal process.

Assist AAM in Facilities Management activities.

Coordinate revenue activities in the Area Office including but, not limited to Random Moments in Time Study collection; SSI/Birth Certificate applications, benefits and eligibility and personal needs disbursements

Responsible as the primary point of contact for Help Desk/ IT activities including but, not limited to phone, network and application issues, monitoring their resolution; support staff in the use of XP, Office 2003, Windows 7, Office 2010, Outlook 2010, and proprietary software; communicate new requests/modifications to existing network accounts; coordination of equipment moves; perform server backup; participate in new software releases; troubleshoot issues of all Laser Printers and Ricoh copiers.

Support the LAN Manager and act at the PC Coach for this office, providing technical support to the office when LAN MGR is unavailable to us. Assist in collecting, organizing, and reviewing basic information for the production of various documents and reports.

Serves at time keeper and performs time and attendance input for my three clerks and performs leave audits for them as well.

Establish and maintains records, files, and papers in both hard copy and electronic forms for the immediate us of the staff.

Assist in tasks common to the units/office as a whole, such as mail distribution, filing, telephone coverage, ordering and procurement of supplies and supply budget and making travel arrangements for staff, as requested.

Assist in many budgets such as Police Detail, Case Copying and Family Support for our families in need of financial assistance through our agency.

Prepare and type in final form letter, memoranda, reports and correspondence which may include matter of a confidential or sensitive nature. Confidentiality is priority in this office and with the agency as a whole.

Serve as a liaison to staff in coordinating program policy and plan development. Provide feedback on the effectiveness of existing program policies and procedures within the office.

Perform other administrative functions as required and/or requested also by the Area Director.
