Administrative Secretary, Department of Children and Families, October 2010-May 2012

Florida ACCESS Program

Oversee and provide administrative support for the Policy Unit at the Florida ACCESS Program.

My duties consisted of, purchasing all supplies with a state purchasing credit card. Maintaining

the program’s state vendor records, which entailed of creating requisitions, processing invoices,

creating receiving reports as well as creating IRRS, using the state’s My Florida Market Place

(MFMP). Other duties consisted of researching clients that may owe state owned debts through

various systems for the Florida Benefit Recovery Program along side the Florida Lottery Office.

Receive and file incoming checks from clients paying federal debts and distributing them

through certified mail to appropriate counties. Maintaining personal client information using

SCANS on the computer. Answering a multi-line phone, assisting clients with their benefits

including Medicaid, Cash Assistance, and Food Assistance (Food Stamps). Create Excel

spreadsheets and update all internal and external partner liaison phone directories as well as all

Policy Unit phone directories. Make travel arrangements and complete travel alrets,

authorization request, and vouchers for reimbursement for state employees using (ARTS).

Complete mail run on a daily basis, distributing documents to the appropriate office. Answer the

Benefit Recovery Program (TOP) Hotline and maintain records of all incoming and outgoing

calls. Adminitrative to the DCFT Tracker System, which includes tracking all correspondence

that come through mail, fax, or e-mail.

Abuse Hotline

Answer 50-100 calls per day on a switchboard using a multi-line phone, on calls regarding abuse

on children and vunerable adults. Maintain all phone directories using Microsoft Excel and

update spreadsheets for the departments emergency hurricane phone list. Distribute abuse posters

to different organizations and community partner liasons. Work with the Diligent Search Unit

(DSU) researching subjects from abuse reports sent to the hotline using various systems. Provide

support for personnel conducting employee reference checks and scoring job applications.

Responsible for ensuring visitor security forms are properly filled out before allowing access

onto the hotline. Assist the I.T. Department with technical issues employees have by creating

tickets through ASSET Navigator and assigning them to the appropriate I.T. Staff Member.
