As a Lease and Fleet Coordinator, you will provide administrative and operational support to the company Lease and Fleet program in managing the organization's vehicle fleet and leasing activities. This role involves coordinating lease agreements, maintaining accurate records, and assisting with fleet logistics to ensure smooth operations. You will collaborate with various stakeholders to facilitate efficient use of fleet resources and adherence to company policies and regulations.

JOB RESPONSIBILITIES

1. Lease Administration:

Assist in the coordination of lease agreements for company leasing agreements, including tower, new and used vehicles, and other various leases including gathering necessary documentation and facilitating communication between leasing companies and internal stakeholders.

Maintain up-to-date records of lease agreements, payments, and related documentation in electronic and physical filing systems.

Monitor lease expirations and assist in coordinating lease renewals or terminations as directed by the Lease and Fleet Supervisor.

Respond to inquiries from vendors, internal departments, and employees regarding lease terms, payments, and other lease-related matters.

2. Fleet Logistics Support:

Assist with scheduling vehicle deliveries, pickups, and inspections in coordination with leasing companies and transportation providers.

Coordinate vehicle registration, titling, and insurance processes to ensure compliance with regulatory requirements.

Support the implementation of preventive maintenance schedules and coordinate service appointments with authorized vendors.

Assist in tracking fuel consumption, mileage, and other fleet metrics to support data analysis and reporting efforts.

3. Vendor and Supplier Coordination:

Liaise with leasing companies, vehicle suppliers, and service providers to coordinate fleet-related activities and resolve operational issues.

Assist in negotiating contracts, pricing agreements, and service arrangements with vendors under the direction of the Lease and Fleet Supervisor.

Maintain vendor contact information, service records, and contract documentation for reference and audit purposes.

4. Compliance and Documentation:

Support compliance efforts by ensuring that all tower, fleet, and other related activities adhere to company policies, regulatory requirements, and industry standards.

Assist in maintaining accurate documentation related to vehicle registrations, insurance certificates, and safety certifications.

Assist with the preparation of reports and presentations on fleet performance, lease expenses, and other key metrics as needed.

5. Administrative Support:

Provide administrative support to the Lease and Fleet Manager, including scheduling meetings, preparing correspondence, and managing departmental budgets.

Assist in the preparation and processing of lease-related invoices, purchase orders, and expense reports. This will include working with management on the termination of leases where appropriate.

Handle general inquiries and requests from internal and external stakeholders in a professional and timely manner.

POSITION REQUIREMENTS

• Bachelor’s degree in business, Finance, Economics, or related field.

• Highly motivated, with the ability to adapt to quickly evolving needs in a high-growth environment.

• Analytical thinking and strong problem-solving skills with ability to think critically about how small details impact the big picture.

• High level of integrity, accountability, and ability to represent the company’s best interests among multiple stakeholders.

• Process oriented and able to imagine and implement systems and operations efficiencies.

• Strong Excel skills and willingness to deep dive into financial and operational data.

• Discretion and discernment in handling sensitive or confidential information.

• Relentless curiosity and continuous learning mindset.

• Preferred 2+ years of experience in financial analysis, either within a corporate Finance FP&A function, or within investment banking, commercial banking, or private equity.
