ACCOMPLISHMENTS
Document Control Specialist
Using DuPont’s process I tracked incoming and outgoing vendor documents, drawings, purchase orders, specifications, quotes, inspection reports and other key project documents. I became proficient in using the following Documentum features: searching, importing, checking-out, checking-in, linking documents, accessing, viewing, and/or editing documents. Prepared transmittal letters to vendors, issued control records and drawings to various project teams, and received marked-up drawings to return to vendors. This required proficiency in the use of Word, Lotus Notes, Adobe Standard (for creating PDF files), Excel, and Microsoft Image Writer; strong communication skills (written and verbal); and teaming skills. Used SAP to create requisitions for equipment procurement and materials and equipment lists for specific projects. All of these duties required that I work closely with the lead engineers, the Sourcing group (Purchasing), and vendors.
Analyst – Lotus Notes Jr. Developer
Met with the customer or team to discuss the purpose of the database (data repository, team or project collaboration, etc.); created and customized the Lotus Notes database to meet the customer’s requirements while maintaining company standards; and after the completion of the database I met with the customer to explain/demonstrate the various features and workflow included.
Communicated to Lotus Notes database users (verbally and in writing) detailed procedures such as: How to Embed a Document; How to Set Up a Review Cycle; How to Avoid Replication Conflicts; How to Replicate a Database; etc.
Provided Lotus Notes Administration - (created accounts for new employees, deleted accounts, changed ADOs, and created new group lists).
Set up new user passwords (and reset passwords) for a Knowledge Management system; remediated Lotus Notes databases to comply with company security standards for an upcoming audit; and evaluated a new collaborative tool (Groove); presented and trained pilot groups; wrote installation instructions; served as Groove Administrator (set up groups, accounts, access levels, etc.)
Senior Word Processing Specialist
Worked closely with managers, engineers, designers, and administrative assistants to provide solutions for their word processing needs. Created letters, reports, manuals, newsletters, spreadsheets, presentations, animated presentations, certificates, tables, forms, templates, equations, flowcharts, organization charts, brochures, training modules, etc. using various software packages such as: Microsoft Word, PowerPoint, Excel, Access, Adobe Acrobat, PageMaker, FileMaker Pro, FrontPage, Equation Editor, Freehand, MacDraw, MacDraw Pro, Paintshop Pro, ClarisDraw and others.
Provided PowerPoint animated slide presentations for quarterly meeting conducted by department head presented to entire department (approximately 1,000).
Provided hands-on instruction and followed up with written instructions for customers on how to use specific features of software such as: using tables, headers and footers, sections, and generating a Table of Contents and/or indexes. Also mentored other team members in software packages that they were less familiar with.
Senior Administrative Secretary
Provided secretarial support for one-to-two managers and their respective groups (~30-35 people). Kept Managers’ calendars, scheduled meetings, sorted mail, typed, filed, made copies and travel arrangements. Provided word processing, recordkeeping (attendance, vacation scheduling), and travel arrangements for the entire group. Ordered stationary, arranged for email accounts, and other system accounts for new members of the group.
