Executive Assistant, C-Suite

Provide high level administrative support to the C-suite executives and Board members.

Work in unison with the Executive Assistant to the CEO to ensure the c-suite runs flawlessly.

Manage day-to-day activities for the CFO/COO as well as the SVP, Strategy, including demanding and often chaotic calendars, monitoring for conflicts, arranging meetings, conference calls, and complex travel. Walks a fine line between providing a gentle prompt to keep things on schedule and knowing whether to go ahead and adjust the next meeting.

Prepare expense reports and reconcile credit card accounts, including reviewing and approving those of the direct reports to the CFO/COO and SVP, Strategy.

Compose and prepare internal memos and external letters/documents.

Review budget projections versus actual for the Executive office.

Assist in the coordination, planning and execution of the annual Family Shareholders meeting and dinner as well as quarterly Board meetings.

Organize off-site meetings and events including Board as well as the Executive Leadership Team off-site events. Attending as key contact and providing support.

Research and prepare budget data on off-site venues in order to make the best selection for our events.

Handle sensitive and highly confidential information in a professional manner.

Work closely with the chief pilot to coordinate use and approval of the corporate jet across the company.

Create and maintain yearly Board calendar as well as the C-suite calendar.
