POSITION: ADMINISTRATIVE SPECIALIST

•Advise managers on administrative processes related to human resource (HR) recruitment and placement, regulations and requirements.

•Gather, analyze, and maintain operational manpower and historical data to prepare a variety of HR reports, organizational structure/functions and work processes.

•Conduct management surveys and research projects; provide advisory services on management issues to assess the effectiveness of program operations.

•Issue supplies/materials to DC employees and coordinate completion of equipment inventories; mail supplies, uniform gear, and equipment nationally.

•Populate office assets into the Sunflower (SAMS) system - includes adding and removing equipment to the system.

•Coordinate office administrative requirements and inter-office reports with other offices and participate in special projects such as DHS Continuity of Operations and security exercises, inspections, investigations and emergency evacuation drills.

•Conduct exit surveys and interviews with departing employees, utilize analytical tools to assess data and identify organizational trends, advise managers of shortfalls.

•Prepare a variety of monthly reports: weekly Actions Report (WAR), “Concur” Travel, Transit Subsidy Costs, & Assets reports. Attend monthly meetings for Accountable Property Officers and Local Property Officers (APOs/LPOs) to ensure accuracy of assets inventory.

•Handle timekeeping functions as back up to the WebTA administrator.

•Purchase Card Holder for OIDO and prepare form 1501’s to acquire supplies, equipment, and training courses; obtain management approvals.

•Reconcile purchase card Citibank monthly charges, provide supportive receipts to Approving Officials(s), and prepare audit reports.
