Our operations staff are essential partners in sustaining the financial health and daily wellbeing of our school community. Position Summary
The Accounts Payable & Food Program Coordinator manages two interconnected areas of school operations: the accurate and timely processing of financial obligations, and the administration of the school's student meal program under California's Universal Meals Program. This role requires someone who is equally comfortable with spreadsheets and compliance paperwork as they are with the practical, people-facing work of running a school food service. The ideal candidate is detail-oriented, organized, discreet with financial information, and committed to ensuring that every student has access to nutritious meals — a guarantee California has made to all public school students. Key Responsibilities
Accounts Payable
● Process all vendor invoices, check requests, and payment authorizations accurately and on time, in accordance with school fiscal policies and charter authorizer requirements
● Verify invoices against purchase orders and receiving documentation; identify and resolve discrepancies with vendors and internal staff
● Maintain organized and audit-ready AP files, both digital and physical, including vendor contracts, W-9s, and payment records
● Track and manage vendor 1099 reporting requirements
● Respond to vendor inquiries professionally and resolve payment issues promptly
● Support budget tracking by coding invoices accurately to the appropriate cost centers and funding sources
Food Program Administration
● Serve as the school's primary coordinator for the National School Lunch Program
(NSLP) and School Breakfast Program (SBP) as administered through the California Department of Education (CDE) Nutrition Services Division
● Maintain accurate, confidential meal eligibility records in compliance with federal and California state privacy requirements
● Submit required program reports, monthly claims for reimbursement, and eligibility data to CDE Nutrition Services accurately and on time
● Coordinate with food service staff or vendors to ensure daily meal counts are accurately recorded, site-reconciled, and submitted in accordance with CDE claiming requirements
● Monitor program compliance with USDA nutrition standards, meal pattern requirements, and the school's local wellness policy
● Prepare for and support CDE program reviews and federal oversight visits; maintain all documentation required for review readiness and retain records according to CDE-mandated timelines
● Manage food service vendor relationships and contracts, including purchase orders, invoice verification, and delivery reconciliation — coordinating closely with the AP function to ensure seamless and timely payment processing
● Track food program revenues and expenditures within the appropriate CSAM fund; provide regular budget reports to the Director of Operations
● Oversee or support the physical meal service operation, including coordinating staffing, setup, and daily logistics with front office and kitchen personnel Compliance & Reporting
● Maintain working knowledge of applicable federal, state, and local regulations governing school nutrition programs and charter school fiscal operations
● Ensure required program records are retained according to mandated timelines
● Identify opportunities to improve processes, reduce errors, and strengthen internal controls across both functions
Qualifications
Required
● High school diploma or equivalent; associate's or bachelor's degree in accounting, business, nutrition, public administration, or a related field preferred
● Minimum two years of experience in accounts payable, bookkeeping, or financial administration
● Familiarity with school nutrition programs (NSLP, SBP) or demonstrated ability to learn complex regulatory frameworks independently
● Proficiency with accounting or ERP software (e.g., QuickBooks, Sage Intacct, or similar) and Google Workspace or Microsoft Office
● Strong attention to detail and accuracy in data entry and financial recordkeeping
● Ability to handle confidential financial and student information with discretion and professionalism
● Excellent organizational skills and ability to manage recurring deadlines across multiple workstreams
Preferred
● Direct experience administering USDA child nutrition programs in a school or nonprofit setting
● Experience working in a charter school or public education environment
● Familiarity with charter school authorizer reporting requirements and fund accounting principles
● Experience with student information systems or meal management software (e.g., Titan, Linq, or similar)
● Bilingual (Spanish/English or other language spoken in our community) strongly preferred
● ServSafe or food handler certification, or willingness to obtain Physical Requirements
This role is primarily office-based but includes regular time in the kitchen and dining areas to support meal service oversight. Must be able to lift up to 25 lbs, stand for periods during meal service, and work in food preparation environments.
