As a Program Specialist (AOD), I am responsible for the representation of the facility and all administrative matters that occur outside of a normal tour of duty.
I am delegated the authority of the Business Office Manager to exercise non-policy making decisions and actions regarding administrative matters; this includes actions dealing with any disaster situation, in accordance with the medical center-wide disaster plan.
I provide administrative authority, guidance and decision making to the Nursing Officer of the Day.
Assists in responding to emergencies, determining priorities and nature of action to be taken.
Maintain good public and media relations as instructed and trained by the Public Affairs Officer until the designated employee arrives.
Act as an advisory resource to all personnel assigned to other than normal tours of duty, such as medical clerks, telephone operators, file room personnel, admitting and clinic clerks.
Prepare daily Gains and Losses Sheet and other related statistical reports.
Receive and respond to non-routine patient inquires and other administrative inquiries.
Provide technical guidance necessary to meet procedural, legal and administrative requirements relating to the care of patients to achieve optimum use of available resources.
Ensure positive rapport is maintained between the public and the V.A.
Perform data entry and adhere to consistency reviews and local policies and procedures governing data integrity.
Enter and retrieve information from a variety of data systems.
Ensure that check-in processes are properly recorded in the EDIS Software for the Emergency Department.
Coordinate with VA Crisis Line and VISN or regional Nurse Advice Line in assisting Veterans in emergent or crises situations.
After regular hours I am responsible for initiating prearranged call tree, or for calling in all necessary employees on an overtime basis for emergent needs.
Perform duties in the absence of the Survivors Assistance and Memorial Support Clerk during off tour hours.
Receive phone calls and provide patient advocate support to Veterans and their family members after hours.
Process administrative issues surrounding patient death, seriously ill cases, and elopements.
When unusual circumstances occur, I determine actions to cancel clinics and appointments seeking clinical input and I initiate the process to contact affected parties and reschedule where appropriate.
I currently work a fulltime rotating schedule consisting of 07:30 – 4:00; 4:00 – 12:00; and 12:00 – 08:00.

I worked under the coordinated care with the Clinic in the daily flow of servicing every veteran that entered the door.
Daily, my responsibilities included scheduling, canceling, and re-scheduling new enrollee’s appointments upon completing of eligibility review; checked in appointments for the clinic, cancelled appointments when required; verified and updated demographics and captured insurance information.
I collaborated, communicated, and participated in problem solving along beside my PACT team for any operational issues or procedures that did arise.

I processed Veterans Health Identification Cards (VHIC).
