I was the head Secretary within the 2nd largest school in Racine Unified School District with approximately 1,500-1,700 students and approximately 160 staff members. I have been in the District 20 years with experience in multiple departments and job responsibilities. I work well with little supervision and collaborate with multiple departments/employee groups in order to effectively develop and execute different critical projects, including planning budgets, job responsibilities etc... I left to pursue a job offer that offered more advancement opportunities, even though I enjoyed the new challenge and picked up on the job quickly we parted ways shortly after starting to give me a chance to expand my abilities in the workforce. As Head Secretary I oversee the Clerical staff assigning job duties as needed and delegate projects and timeline as well as supervision of staff. Keep up with District local and federal policy changes to ensure staff are also updated and following procedure. Schedule event dates and venders. Ensure adequate staff are available for event management and set up details as well as delegate staff responsibilities to ensure everything is covered and completed in timely manner. For example, Student registration/Schedule pick-up, Picture Day/Re-take day, grade level events and after school events etc... Supervise all aspects of the event, from creation through completion and work with engineer team for cleanup/take down. Answer multi-line phone system with warm, friendly demeanor. Making sure any principal calls are answered so if they are needed by upper management or urgent matter, I can then contact with the walkie talkie or on their cell phone when they are away from their desks.

Streamlined processes to effectively track, order, and maintain inventory Provide executive support to Directing and Assistant Principal in our K-8 School. As well as train any new admin I worked under. I assisted 5 principals to coordinate their schedules, obtain any quotes they may need, place any orders they need, contact different departments within the District to answer the information they may need or advise them on processes and procedures. Attend meetings and interviews in order to provide my input and involvement. Manage staff absences and ensure proper coverage is obtained for entire day. This may require me to call in subs otherwise create a rotation of staff during their free time to cover every position daily. Report each absence through our absence system to document type of leave staff needs to use when absent from work. Report all staff absence to payroll weekly to ensure staff are paid according based on types of absences they may have needed each week. Check that the employee groups that use the timeclock have all punches documented or if they were absent fill in the reason, they documented for any time off to ensure each staff members payroll is accurate and paid to them. Schedule new applicants interviews and welcome any new hires ensuring they get information on building procedures. Update directories with staff changes or moves within building when staff change rooms or positions. Maintain/update staff emergency contact info yearly or upon hire and create staff phone tree in the event a building wide emergency call needs to be initiated. Budget Manager- Create accounts/codes we will need throughout the year and designate amount of money that should be allocated within each account based on school needs for each school year following state/federal guidelines. yearly budget can range from
$150,000-$250,000. Monitor budget throughout the year to ensure each account is spent during current school year and make any adjustments based on purchasing need changes that accrue. Purchasing Manager- Obtain any quotes/bids needed to complete purchase orders for entire staff/student/building needs, submit POs for approval, once order arrives check in and receive in accounting system for payment of the invoices. Handle all discrepancies, returns, lost shipments. Keep inventory and purchase needed supplies for office and all students school supplies provided by school.
Receive all money collected throughout the year and deposit into proper bank accounts based on what was collected or paid. This can include but not limited to: school store, book rental, sport fees, instrumental rental, damages/loss items, fieldtrips/busing fees, donations and fundraising for entire school. Amounts can vary but usually handling few 100 thousand throughout each year.
