Duties, Accomplishments and Related Skills:
Prepares and reviews letters, memoranda, reports, staff papers, outgoing correspondence, personnel document, etc., which may be highly technical and/or classified. Prepares documents for concurrence and signatures. Assures the material has been proofread for grammatical and punctuation correctness, is complete, and conforms to the format, style and appearance required by the NRC, respective office, and/or division procedures. Enters documents into the Agency-wide Document Access and Management System (ADAMS), following established policies and procedures. Supports the accomplishments of the Division Director, Deputy Division Director and Branch Chiefs' priorities through assignment and expediting of the administrative work of the division. Assures the distribution of outgoing correspondence is adequate and appropriate.
Manages and maintains the appointment calendars for the division and division management. Advises division management of appointments, meetings, etc. Routinely adds new appointments and coordinates/adjusts the appointment calendar as necessary. Advises the managers on necessary preparation for appointments and meetings; assembles, organizes, and, if needed, reviews and highlights, appropriate background information. If necessary, make arrangement for meeting/conferences, including space, people, time, equipment, etc. and coordinates with the Office of Regional Administrator, as needed. Informs participants of topics to be discussed and needed background information. Occasionally attends meetings, records meeting discussions, prepares reports, and maintains tracking of actions deriving from meetings.
Plans travel itineraries, makes travel and lodging reservations, and prepares travel authorization requests and vouchers for the senior managers or invitational travel. Serves as a liaison between senior managers and other divisions, offices, or branches in administrative matters.
Ensures that up-to-date filing systems are maintained for effective and efficient use by the division's professional and administrative staff.
Manages systems for handling-controlled correspondence and action items. Recommends changes to procedures for divisional correspondence systems to better facilitate the inward and outward flow of correspondence. Maintains management information systems for monitoring the status of division conformance to regional operating plan. Handles Safeguards Information occasionally, and handles classified documents, if needed. Receives incoming telephone calls and visitors to the division office. Determines the identity of the caller, nature of the call or visit, and priority in which the calls/visits should be handled by senior managers. Identifies if calls/visits should be referred elsewhere. Consistently uses utmost courtesy, tact, and independent judgment in soliciting information from caller pertaining to the purpose of the call or visit.
Uses effective communications to establish and maintain working relationships and treats others professionally and with respect.
May serve as a mentor in the development of new administrative personnel. May support and provide coverage for multiple divisions. Exercises discretion in handling sensitive information that comes to the attention of division management.
On an as-needed basis, could serve as an administrative assistant on the base team in the Incident Response Center.
Occasionally responsible for handling SGI and SUNSI. Performs other duties as assigned.
Extensive knowledge of regional programs and functions, and the responsibilities of the assigned division, as well as the senior managers' operating methods sufficient to determine the purpose and priority of correspondence, calls and visits received in the division, to assure completion of follow-up actions, and to assure distribution of correspondence and reports in accordance with NRC regulations.
Extensive knowledge of the division's organization, function and programs, and relationship with other components of NRC, sufficient to answer substantive questions not requiring technical knowledge, in order to serve as liaison between the division and other organizations on administrative matters, to assure the senior managers that all pertinent offices have cleared controlled correspondence or action items, and to assure the adequacy and appropriateness of the distribution of outgoing correspondence.
Advanced skill in using Microsoft Suites sufficient to prepare correspondence, memoranda, reports, use Teams and PowerPoint presentations etc., quickly, and accurately. Ability to tactfully deal with all levels of NRC staff, Federal agencies, State and local government bodies, the print and electronic media, elected officials, private individuals and corporations, and licensees.
