Provide general secretarial and other support to department staff and management.
Provide clerical support for Inspector to include letters, mailings, flyers, and other duties as requested.
Maintain confidentiality of all department information. Provide pleasant reception to visitors and callers.
Assist in answering the phone and screening calls, taking messages, and directing information to staff. Responsible for departmentcopying, scanning, faxing.
Assist with Spanish translation and Spanish interpretation for staff, as needed.

Type and prepare letters, fliers, notices, reports, and any other necessary correspondence for department staff.

Organize and maintain the filing system including preparing files for shredding. Assist in creating Mail Merge Letters in department online reporting platform.

Prepare orders for office supplies.
Proofreads varying types of materials to ensure that information is grammatically correct, complete, consistent and adheres to agency rules and regulations.
Receive calls from residents requesting maintenance work orders. Assess needs/address complaints. Utilize written policy and procedure to educate resident on expectations related to work turnaround times and monetary charges.
Retrieve work order requests from software system and perform follow up with resident as needed to
clarify nature o f issue.
Catalogue all work order requests in agency software system.
Prepare billing statements for work order charges.
Create reports and spreadsheets to compile and present work order data.
• Assist in the drafting of policy and procedure related to maintenance operations based on work order needs and trends
Assist with monitoring of quality in work order outputs.
Provide weekly and monthly reports to supervisor on maintenance activities, team performance and
resident issues, when applicable.
Prepare and maintain various work logs generated by work order and other maintenance systems, including those related to contractor/vendor projects, preventative maintenance schedules and task
specific maintenance tasks.
Manage daily work of agency pest control contractor, including receiving requests, scheduling services,
cataloguing events, and providing oversight tooutcomes.

Input information into the agency's close-circuit television messaging system.

Assist with training Poll Workers on Election Day procedures and how to acclimate the translators into
the election day process
Provide updates to the Spanish speaking community through appropriate media about changes in election law
Manage system ensuring compliance with requirements for voter identification and provisional ballots Develop and maintain procedures that apply the law consistently in conformance with equal protection Develop and maintain a complaint response system; assist in developing policy and ensuring compliance with election duties and requirements
Meet with representatives ofthe Hispanic Community to solicit their views and assistance on how to
effectively get voter education to the community
Set up voter education classes throughout the City and County
Investigate & Report to the Director; all allegations of Poll Worker hostility
Investigate & document allegations ofimproper Election Dav conduct
Ensure Election Services provides all written election-related materials
Ensure that voters are permitted to have assistance in voting
Verifies payment for attending training sessions; updates translators check file for each election worked
