Provided support to the Director of Operations and New Jersey region office staff. My responsibilities included:
Assisted Director of Operations with daily, monthly, quarterly, and yearly reports.
Acted as a key resource for the on-site critical staff team during the COVID-19 pandemic.
Served as the E-file tax coordinator during tax season performing duties such as receiving signed Federal and State e-file tax forms from clients, collated and analyzed paperwork to ensure they were properly completed, tracked forms on the Ayco desktop database, e-filed forms in FastTax, monitored rejections, and archived accepted tax forms in the PSISafe database.
Proactively managed time-sensitive e-mail communications with the internal staff.
Responsible for managing and processing weekly hourly payroll for 130 associates for the New Jersey region.
Provided support to the admin staff and Account Executives with terminated client files, computerized archiving, and processed client documents for shipping to the Goldman Sachs warehouse.
Responsible for coordinating client billing; generated monthly reports for outstanding invoices, and processed individual contracts for self-pay Ayco clients. Worked closely with the Operations and Controllers Groups at headquarters to ensure that clients’ information was accurately entered in the database.
Responsible for coordinating new-hire onboarding by providing new phone set-up, desk set-up, name plates, new hire paperwork, photo identification, and facilitated their first day log-on.
Coordinated the provisioning of break room refreshments, supplies, equipment and services that enabled the staff to perform their jobs effectively.
Performed routine administrative functions such as arranging meetings and conference rooms, office space for visitors, and acted as liaison with facility management to resolve office issues.
