Tender & Costing

-Source and prepare tender bids

- Study the tender documents and prepare submission documents – Technical and Commercial.

- Prepare the tender costing documents and prepare a response time for the same.

- Ensure all the requirements of the tender documents are complied with and list out the non-compliance if any.

- Estimate the Tender Bond / Performance Bond and liaise with Accounts Department for its arrangement as per the requirements of the tender.

- Attend the Technical Clarification meetings and Site Visits scheduled by the clients and prepare a formal response.

- Effectively organize and ensure that mobilization of required resources is carried on smoothly within the period set out in the tender upon the contract award.

- Review the clauses of Contracts, involve in the Contract Negotiations, provide inputs, advice & discuss with the General Manager the possible solutions to the commercial issues.

- Initiate and update Online / Offline Registration of the Company and prepare the documents, obtain relevant information for the Pre-qualification.

- Ensure appropriate relations, communications and correspondence with Corporate Clients.

Procurement

- Obtain quotations from Suppliers.

- Negotiate with Suppliers for getting the best competitive prices and secure best terms.

- Check and verify requirement specifications and ensure that supplies would meet the best standards in terms of time, quality, cost, terms of payments and are within the budget in an efficient manner.

- Prepare PO’s (Purchase Orders) and get approvals from General Manager

- Ensure all the supplies are received by the concerned staff according to the terms of PO’s and documented to prove evidence.

- Submit Invoice & Delivery Note if any along with a set of documents containing Goods Received Voucher, and a copy of the PO to finance department to prepare payments.

- Analyze and update Suppliers related data.

- Evaluate & prequalify Existing and New Suppliers and register them to appear in the Approved Vendor List.

- Prepare and maintain proper filing system for each task in accordance with the requirement of Quality Standards.
