1.Property Management

-Identifying the commercial properties for office space with a view of expansion keeping the general amenities in view and set up the facilities.

- As per company advisory, BOQ will be collected for interior and exterior work from vendors and evaluate the costing, specifications to enable and complete the project as per TAT.

2.Administration and Liaisoning

- Maintaining effective office administration for better coordination in the office premises.

-Handling day to day all the activities of housekeeping, Security guards and other office maintenance, etc

-Effective generating maintenance and MIS reports on a daily basis for the running a company operation.

-Segregating duties and allocating to the administrative personnel for its timely completion.

-Responsible for overseeing the purchase of office housekeeping supplies and stationery for the office staff and ensuring optimum inventory control.

-Arranging and coordinating conferences, seminars, parties, and other events hosted by the company.

-Answering calls / Mails and addressing internal customers’ queries and complaints.

-Drafting letters related to the vendor, government, and internal stakeholders.

-Taking care of S&E, SLA, Empanelment of vendors, and dealing with Govt officials and other stakeholders.

-Liaoning with telephone service providers for timely restoration of telephone lines in case of breakdown.

-Liaoning with electricity, municipal and Police department for smooth service.

-Providing support to legal department to legal proceedings.

-Regular follow up with Accounts / payment department towards vendor / professional tax and staff welfare payment status.

-Providing visiting cards, joining welcome kit, employee ID cards to new employee based on request by HR.

-Support and Coordinate with HOD to prepare or revise the SOP and Safety manual and to obtain PCMM certifications.

-To ensure the maintenance of branch and regional office hygienically and compliance wise adequate, visit the offices on monthly basis in both Karnataka and Tamil Nadu states.

3.Facility management

- Handling complete Facilities and Infrastructure set up including repair and maintenance of office equipment.

-Asset Management, maintaining an inventory & keeping a proper record of company assets.

-Responsible for housekeeping and handling the manpower for the result-oriented target.

-Interacting with different departments for executing the maintenance and AMC of all equipment such as CCTV, FE, DG Set, EPBAX, AC units, Hoardings board, CCM, Safe lockers and HVAC and etc…

-Non IT assets procurement, Installations, Supplies and Fixtures as per vendor management.

-Inviting quotations from different vendors and compare the quotations on the basis of cost and quality and prepare the agreement as per the company procedure.

-Developing and devising cost-effective sources for commercial negotiations and price fixation component development, supply compliance, and contracts management.

-Evaluating suppliers’ performance and ongoing compliance in accordance with the defined parameters.

-Coordinating with the vendor for the negotiations and quality checks of the products for the office.

-Negotiating with the vendor to negotiating on cost and renew the SLA on time.

-Monitoring the hygiene level of the pantry and arranging it’s marital.

-Indoor / Outdoor Meetings, Accommodations at Hotels and Guest House for employees and external officials, Conference and Events will be arranged as per company requirements, instructions and process.

-CUG connections will be arranged for employees for office communications and the data will be monitored every month for transfer and payment process.

4.Safety

- Conducting safety training for employees in branches to create awareness of fire safety measures in office as well as outside.

- Conducting Safety training to all the branches and employees about Fire / Road safety.

6.ISO and MIS

- Preparing and maintaining forms related documents to ensure the ISO needs and analyzing forms and feedback to improve the quality of service.

- Maintaining Administration and Facility related MIS, and providing the same with HOD on monthly basis.

7.Vehicle Management

- Coordinating with head office for purchase company vehicle such as preparing PO, collecting Pre Invoice, releasing of payment and do the completion of registration process along with dealer.

-Maintaining related documents such as RC copy and Insurance.

-Renewing of insurance before the due date.

-Responsible for maintenance of company vehicle and repair and services as per policy.

8.Record Management

- Dealing with RMC for files deposition/retrieval and maintain its MIS.
