DUTIES:
Liaison with Ministry of External affairs for diplomatic note and Dip ID.
Assist to brief the diplomats about the Check-in-Check out processes.
Preparing according cables to support diplomatic assignments for their shipments and administrative supports to new arrivals and departures after completion of assignment.
Obtaining, checking and preparing documentation to meet customs and insurance requirements, packing specifications, and compliance with overseas countries' regulations and fiscal regimes.
Assist and Giving trainings for ILMS, Ariba, Web-pass, E-services and shipping paper work (documentation) to New locally hired Iraqi employee.
Assist and request to Procurement Agent through Ariba for obtaining Purchase order for shipments move & services about DPM (direct procurement mode) or ITGBL (US Dispatch Agent) shipments.
Proceeding invoices to the FMC for vendor payments
Investigating and planning the most appropriate route for a shipment, taking account of the perishable or hazardous nature of the goods, cost, transit time and security.

ANNEXURE – B
Duties:
Prepare and submit documents with Government of India (GOI) offices for attestation of Exemption Certificate for all incoming air & sea Shipments i.e. UAB, HHE, GOV, POV and Bonded shipments. Especially perishable shipments and US support Flight papers, which are always processed on short notice.
Liaison with the Indian Ministry of External Affairs (MEA) to ensure expeditious processing of Exemption Certificate and Prior Approvals for all incoming & out going shipments (Personal and Official).
Prepare documents for AES (American Embassy School) official shipments and obtained prior permission and Exemptions certificate from the Ministry of External Affairs.
Clearing and delivering AES official shipments Air and Sea.
Prepare a list of all incoming shipments belongs to different agencies and Diplomats.
Co-ordinate with procurement office for the purchase order items to preparing Exemption Certificates.
To brief the diplomats about the Check-in & Check-out processes.
Collect the diplomatic I.D. cards and guest lists for invitations/passes for various government ceremonies from the MEA.
To coordinate with HR Office and Ministry of External Affairs for their pending issues.
Supervise the delivery of HHE’s (House Hold Effects)and UAB’s(Air Shipment) shipments for Export & Import Shipments.
Tracks and conducts follow-up with the Property section for shipments delivery and providing supporting documents & Purchase order.
Assist to property warehouse for shipment & container delivery and inventory for incoming and outgoing goods.
Collects delivery orders from various consolidation agents and airlines.
Tracks and conducts follow-up on the status of all the shipments.
Clearing Air/Sea Shipments and Co-ordinate with the warehouse (property office) in-charge for incoming shipments delivery.
Carrying CASH up to 1, 00,000.00 for clearing Air/Sea shipments (for detention and demurrage charges) and for the payments of Delivery orders for Air/Sea and settled vouchers with FMC.
Export and Import POV’s (personal owned vehicle) and GOV’s (Govt. owned vehicle).
Export and Import perishable shipments with timely manners or coordinating with DCP of customs for Customs Clearances, perishable shipments on special permission.
Submits pertinent documents required by the Government of India (GOI) for the processing of sale application, Import and Re-Export for POV’s (Embassy and other Consulate) to MEA.
Assist and preparing Prior Approvals, for all incoming official shipments and start processing to clear duty free Exemption Certificate form MEA as per Prior Approvals and others.
Assist and preparing driving license and registration and cancellation of the POV & GOV with the Transport Authority (GOI). Assist and preparing Excise Exemption for POV or locally purchased items.
Co-ordinate with the International Agents, Shipping Lines, Airlines, Packing & Moving Companies for the incoming & outgoing shipments.
