• Process all incoming RFIs/Submittals and distribute them accordingly, once they are completed, they are processed by myself and sent back.
• Following the status of all RFIs/Submittals (creating logs for all outgoing and incoming RFI's/ Submittals, sending reminders when items are past due).
• Process change orders.
• Working directly with multiple subcontractors to assist with any questions, or to assist with any urgent documents.
• Opening new projects and processing/organizing all the information and documentation that goes along with it.
• Recording, transcribing and the distribution of meeting minutes.
• Create and complete backcheck logs.
• Reserve conference rooms and coordinate meetings and appointments for supervisors and managers, as well as high profile clients.
• Ordering catering for all coordinated meetings and appointments. Meeting set up (coffee, water, and snacks for all meetings)
• Continuous updating of filing and organizational practices, making all files easily accessible/organized in a simple yet practical manor. (all files names are saved with same verbiage, minimizing file sizes, etc.)
• Manage all paid time off/vacations for studio.
