Responsible for managing all aspects of the day to day of the Executive Dean and Deputy Dean in the University of Zimbabwe-College of Health Sciences. Coordinates activities and functions of a designated program to ensure that goals and objectives specified for the program are accomplished in accordance with established priorities, time and funding limitations or other specifications. Main Duties and responsibilities
To manage all aspects of the Executive Dean & Deputy Dean’s diary, including the effective organisation of travel, meetings, committees and events involving the two Executives.
To manage the Executive Dean& Deputy Dean’s internal and external communications in a timely and appropriate fashion.
To prepare, collate and distribute information relating to various Committees, working groups and meetings, including electronic coordination of agendas, accompanying papers, attending meetings and taking minutes and dissemination of outcomes and actions.
To provide project support for strategic projects being led by the Executive Dean & Deputy Dean’s Office, including research, drafting documents and collating sources and resources related to projects.
Providing information to support decision making relating to strategic developments for the University.
To plan and manage the transition to a ‘paperless office’, which will include both utilising existing ICT platforms as well as researching into and developing comprehensive new electronic systems and databases appropriate for projects driven by the Executive Deans’ Office.
To supervise other staff from time to time to ensure smooth running of the Executive Deans’ office.
Handle and review confidential information including all emails, and advise the Executives accordingly.
