Position: Administrative Assistant (Mangochi CADECOM) – November 2010 up to date

Key Duties include:-

-Provide administrative and logistical support to management and field staff

-Provide administrative and logistical support during meetings, workshops and trainings

-Taking minutes, writing and disseminating them

-Coordinating travel arrangements, scheduling and booking of hotel accommodations for both local and international staff

-Coordinate maintenance of office equipment

-Responsible for data management that is coordinate incoming /outgoing correspondence; maintain hard copy & electronic filing system.

-Monitoring consumption and ensuring adequate supply of good quality office sundries and stationery at all times.

-Ensuring proper records are kept for receipting and issuance of office materials to all programme staff.

-Administrative functions including supervising subordinate staff such as Drivers, Office Assistant and Security Guards

-Ensuring offices and the surround are clean and tidy all the time

-Managing reception area i.e. receiving visitors and directing them and answering telephone

-Draft correspondences on behalf of the Programme Manager

-Welcoming internal and external clients and directing them to the right offices/officers
