Manage calendars, working with other departments to coordinate meeting bookings

Manage domestic and global travel arrangements, itineraries and other duties related

Tie up with hotels, different travel agents, conference call, dial in arrangement for internal and external meetings

Work closely with external partners, assistants, vendors and other stakeholders to schedule meetings or events in various places and cities around the country.

Being a program secretary my job is to take care of all administrative and logistic arrangement i.e. coordinating with participants, circulating program design and agenda, venue finalization, transport arrangement, distribution of memento, lunch- dinner arrangement etc for the guests, faculties and other delegates.

Handle special projects for the Director during my tenure at IIMC 1. Preparation of program brochure detailing about the course, program schedule, details about the delegates etc. with close ordination with the faculties, student and delegates. 2. Accommodations, logistics and transportation arrangement for all the corporate invitees, and Industry delegates.

3. Setting up conference venue, decoration, banner, arranging video and photography for the program, souvenir for the guests, program kits for the delegates, organizing program lunch etc.

We often get queries from MHRD for statistical data. I coordinate with relevant departments for collecting information and collate the same for filling up the various questioners sent by MHRD and arrange for onward submission to them.

Oversee internal and external communications, including face-to-face, electronic, and social media.

– Communicate on a regular basis with guests, faculties, program participants from different programs, IIMC alumni etc.

Arrange, coordinate and prioritize complex scheduling and logistics – part of my job.
