Executive Assistant (Purchase & Operation & Management) from August 2023

Looking after Purchase of Raw materials as per requirement for production,, after approval of final Rates from Management, issuance of PO, coordination with factory and party, and all related work and making payment as per terms & conditions till completion.

Co-coordinating with Transporters, arrangement of transport for purchase the Item where Ex-Factory Rate is given, if required and for despatch of materials for sale, coordinating with factory supervisors for loading unloading etc.

Coordinating and assisting in operation work of our company and reporting to higher Management.

Also doing liaison with all the departments and branches of our company as per instruction from higher management from time to time.

Also communicating with other departments as well as Govt.dept. Lawyers’ office for legal etc. as per requirement arises.

Checking & Passing Bills of Purchases after checking all the details, Transporters bills and following up for payment to be done after approval given by higher Management.

2.Darjeeling Tea Association (Kolkata) Tea Association

Accounts & Admin of Association in Kolkata from September 2021 to July 2023

Arrangement of meeting of the house, after availability of all association Board Members then organize the meeting date with agenda after direct approval from Chairman (HOD).

Drafting Notice for Members Meeting, and after completion for the same drafting Minutes of the Meetings as per the approval and then final copy to circulate to all tea gardeners.

Liaising with Tea Boards and minister’s office and other related Govt. Departments as per the requirements from Garden Owners and to claim any Subsidy or any claim dues for gardens.

Assisting for obtaining the license related to Tea Manufacturing or Tea Exports etc.

And also with coordinating with advocates for case related query or any documentation or details information required

Also preparing related reports from time to time as instructed from the Governing Body of the Association on behalf of the Association.

Overall Office Administration, Liaising with other Branches of the Association and Liaison with Bank, and directly reporting to the Head of the Governing Body.

Accounts payable & Receivable, Handling Cash, Ledger Reconciliation with debtors & Creditors (Mainly with Tea Exporters and Garden owners).

TDS Calculation, Deducting & Submitting up to filling return, GSTR3B GSTR1 filling, & making sales Invoices (Membership Subscriptions and Export Service Charges Bills).

Follow up for collection for membership fees and other dues from Members of the Association and also other Tea Exporters for charges regarding certification of Export of Tea etc.).

Checking and maintaining the Insurance file and coordination with Insurance house for Insurance to be done on time with in due date.

Making salary payment & other Payments through Internet banking / cheques / RTGS / NEFT / IMPS etc. independently

And others work also related to Accounts and Admin & others.
