• Legal assistant to Sr. managing partner plus 2-3 associates at litigation defense firm consisting of defense coverage, litigation, GL, med-medical malpractice, EPL, E&O/D&O coverage and litigation, med mal and more.
• Manage calendar and coordinate appointments, meetings, and events, paying close attention to deadlines.
• Draft correspondence letters and memos for outgoing email/mail including transmittal letters, draft settlement agreements, response letters to demands, retainer agreements for new client set up and more.
• Arrange domestic and international travel paying close attention to world time zones including, UK, Europe, Bermuda, Eastern, Pacific and more.
• Book elite car service for transportation from home/office to airport, airport to hotel, hotel to meetings and more ensuring inside or outside pickup preference.

• Arrange hotel stay, type of bed, room, view, club level, check-in times ensuring room is held when check-in is after hours.
• Arrange client lunch/dinner meetings during travel and local adding Excel calendar of appointments/meetings of place, address, time, date, people meeting with adding any special dietary restriction requests and indoor/patio/outdoor seating preferences. Any changes necessary to time, date, location are updated accordingly.
• Calendar with Compulaw master legal calendar program – enter deadlines for mediations, trials, case management conferences, responsive pleadings, Zoom meetings, conference calls, client meetings and more.
• Work closely with billing and accounting departments, prepare and submit expense reports for reimbursement, delivery slips, draft budgets for clients, FedEx checks, check requests, transmittal letters, etc.
• Scan documents for internal/external sending. Affix signatures for in-house attorneys on pleadings, agreements and other documents and outside counsel signatures on documents when provided approval by outside counsel. Also affix signatures to declarations and verifications and more.
• Search, pull and purchase court dockets, pleadings in State and Federal District courts.
• Subpoena medical, employment and other records, request third party to serve documents when needed.
• Create pleading shells for attorney drafts, ensuring correct formatting and formulas added.
• Ensure discovery, declarations, affidavits, verifications, and proofs of service are accurate on pleadings prior to filing and serving to outside/opposing counsel.
• Contact outside and opposing counsel and legal staff for documents, pleadings, invoices, any needed documentation for file completion.
• E-File in State and Federal Courts in several districts using One Legal, PACER, NextGen, ECF and other court sites.
• Create and open new files in LMS+ Rippe, run conflicts on new matters, request new client prefix through billing department with billing guidelines with the agreed rates and terms.
• Order office supplies weekly and take accounting of itinerary of what is needed or running low as well as order ALTA Food Craft monthly for office-wide use and set up delivery.
• Assist Sr. Managing Partner, additional duties require setting up new-hire personnel with onboarding documents, building access request forms working closely with HR, building management, security team, parking management team, and IT department to ensure smooth set up.
