Executive Assistant/Personal Assistant

Manage and update the calendar. Arrange and schedule meetings, including experience

with multiple time zones and global participants. Weekly confirmation for meetings.

Manage domestic and International travel arrangements by coordinating with the travel

desk as per policy at optimized costs and similarly logistic arrangements with

various tie-up Hotels. Liaise with the travel desk and HR or the central Mobility team for

Visa documentation. Facilitate visa processing for international travel and make all

necessary arrangements e.g. foreign currency, international sim etc. with the vendors.

Coordination and travel arrangement with cab agencies.

Good inter-personal, verbal and written communication skills. Executive presence,

Handle correspondence in absence of Partner. Deliver important messages as per the

Ensure timely and accurate submission of time reports and expense reports on the

internal software (GT&E) and allocation of time for Partners/Directors/Managers and

team on weekly basis. Claim expenses of the partner towards client. Maintain records

for future reference. Tracking payment and reimbursements with the accounts/finance

team.

Enhance collections efficiency of the group by timely and accurate invoicing.

Raise the identified invoices. Ensure the signed invoices are sent to client.

Client work i.e. complete client set up and engagement code set up procedure on the

Firm’s internal software (GFIS and GTAC). All engagement codes to be set up and closed

as per the defined timelines. Assist in a more organized manner in our integrated Global

Tax practice while consistently complying with Ernst & Young’s Q&RM guidelines -

Quality & Risk Management policies & procedures on the firm’s internal software

database.

Create, track, maintain and update the business opportunities in Pipelines (again on

the Firm’s internal software).

Engagement administration, thus enhance teamwork with effective administrative

support and assistance. Ensure that work is delivered to a good standard of quality

(with minimal help from team) & if need be is reviewed by MIS team before

forwarding to Director/Partner.

Organizing Seminars and in-house trainings

Co-ordination for Arranging Venues, Preparation for Seminars & Presentations etc.

Prepare training calendar for the group. Organize mails and distribution of documents for

the training. All communication to be sent as per the calendar to requisite group. All

training scheduled and organized as per the calendar. Maintain records of training (PPT’s

in the G drive, attendance, timing etc. & inform to respective Directors).

Timely and effective communication to ensure 80% attendance for in-house trainings for

the group.

Resourceful & helpful attitude in supporting the wider group thus enhance teamwork

within and outside the group.

Secretarial Support

Preparation of Correspondence for the Director, Independent Correspondence.

Provide timely & efficient secretarial assistance. And ensuring due diligence & compliance

to firm policies, rules & regulations.
