Provides administrative level secretarial services and makes routine decisions on behalf of the Executive Director.

Seeks out other Directors when needed to see an issue through in the absence of the

Executive Director.

Receives and screens the Executive Director's telephone calls.

Opens and reviews mail, prioritizes it and drafts responses to routine mailings. Maintains the Executive Director's calendar and schedules appointments.

Problems solves with the Executive Director.

Analyzes problems and conducts research in order to offer alternative solutions to the Executive Director for his decision.

Handles office financial matters such as assignment of bills to proper budget categories using Concur.

Provides administrative assistance to the Board President.

Provides administrative level secretarial services for the Board of Directors and Foundation Board of Directors.

Takes and transcribes minutes for MSTA and Foundation BOD meetings, as well as prepares materials for board meetings through the online board portal BoardEffect. Follows through on actions of the BOD and sub-committees.

Performs other duties as assigned.

Coordinates statewide committees and regional officers meetings, and is responsible for all events in relation to the annual state convention.

Coordinates details for Outstanding Leader Awards and Foundation workshops. Secures hotel, meal arrangements and materials for board/staff meeting meetings. Maintains all committees in Salesforce.

Other executive management support responsibilities.

Takes responsibility for office “hospitality correspondence”; send flowers, get-well cards, sympathy cards, etc.

Coordinates conference room schedule and is adminstrator of BoardEffect.. Maintains appropriate e-mails lists for various groups or categories and distributes information on a regular basis.

Maintains the MSTA statewide Master Calendar.
