Construction/Oil & Gas:

Assisting Executive Team within the levels of CEO, President, and Vice President Project Managers.
Liaison between company Executives, Project Managers, Sub Contractors, Superintendents, and Foremen.
Post review of awarded Contract Agreements. Document control and obtaining documents as required (e.g. certificate of insurance, tax exemptions, bonds, request for funding dates, regulated 1295 Bid form, etc.)
Ensuring all change proposals are included in monthly billing, VE/RFP's and or Approved Change Orders were included in monthly scheduled billing (AIA billing software), for multiple Private, HOA, M.U.D., Schools, and Hotels projects to receive on time receivables.
Performed project audits; to ensure Jr. Project Managers were following bid proposal, contract requirements, and internal purchase order procedures.
Attend Pre-Bid meeting to prepare and assist with project PM/Estimator to initiate RFI queries.
Sourced quality Inspectors for global manufacturer inspections, verified reports to match client specifications. For Upstream, Subsea, Brownfield and Greenfield refinery’s projects ranging from
$20K - $3 Billion.
Develop Client/Vendor relationships tracking ITP’s, Test Reports, and IRC’s Non Conformance Reports (NCR) for various EPC, O&G Offshore and Brownfield, Tilt Wall, Retail, Tenant Build-Out, Institutions, and Hospitality construction projects.
Acquired approved ITP, MOM, and Factory Production schedule, Bill of Material of in stock items from production department, and Buyout Items from purchasing department.
Arranged logistics for required shipping; obtained reliable proof that the item document control, close-outs, and vendor final test package.
Quality Assurance/Expediting:
Inquire shop load, negotiate early allocation for shop space and obtain shipping information suitable for tracing purposes.
Confirm with Vendor/Supplier receipt of all necessary “approved” documents required to start fabrication (e.g. Engineering status, design calculations, formal acknowledgement of order, and confirm order has been entered in factory system)
Provide Vendor/Supplier program awareness to strengthen buying power, discounts and incentives offered.
Record conversations, meeting minutes, acquire all current reports, change orders, MRR’s, Overage, Shortage and Damage reports (OS&Ds) revised drawings, memos, or any documents, e-mails concerning status of department set goals – to track schedules and or materials that may present problems either during manufacturing or procurement to company CEO, VP’s, Project Executives .
Ensure Vendor Work Orders have been issued to shop to begin machining, wiring or any other processes that convert as-received materials and components into finished product.
Generate monthly reports for Inspection Tests, Inspection of Sub-Assemblies, and Final Product Performance Test to verify performance under simulated operating conditions.
In-put ascertained interim test of components (e.g. In-process Weld Integrity Tests, In-process Hydrostatic Testing, etc.
Executive Administrative/Human Resource:
Prepared weekly excel project/assignment status reports for Executive/Client reference (start date, awarded contracts, submittals, revisions, and project close-outs).
On Boarding/HR processing, verified employee training, qualifying certificates, scheduled safety training courses, continuing education, OSHA training, accessed information for TWIC card usage.
Provided analytical and administrative support to multiple company Executives.
Maintained Office conference rooms, kitchen area, arranged company meeting conferences, luncheons/dinners, managed Company Golf tournaments, Team Building events as requested.
