Memphis based Service Company
A large service firm in Memphis TN had multiple printers which were causing huge cost from printer cartridges and numerous help desk calls for printer problems and print driver installations. I analyzed their network by teaming up with the IT staff, end users, vendors and management. The end users needed desktop printers for confidential prints and convenience. We implemented a proof of concept that allowed prints to be released at any multifunction device by the employees using their existing security badges at the device ensuring confidentiality and since the prints can be released at any device the end users had greater convenience. All non-essential desktop and network laser printers were removed which reduced IT help desk calls for printer issues by 75% and expensive printer cartridges were reduced by 95% for a total first year savings of $300,000 with greater end user productivity and a high level of positive feedback and user adaption. Change management classes, documentation, and communications were designed to prepare employees before and after the full implementation that outlined savings, functionality, and advantages of the new business process.
Memphis based Gas Supplier
A large gas supplier in Memphis TN had multiple incoming invoices that were stored in numerous file cabinets and storage boxes. The paper filing system caused delays in retrieving invoices for customers, employees, and auditors. After analyzing the invoices we demonstrated software that could automatically extract the necessary data from the invoices and send them into a document management system that automatically named, indexed and created customer folders with no user intervention. Now filing cabinets have been removed allowing for business expansion and all authorized employees and auditors can access needed files. Many hours of manually filing documents has been eliminated and replaced by a fast and efficient automated batch scanning process which greatly lowered labor cost and increased the employee’s productivity.
