Working as a document controller and Secretary for 7 years in MEP and Civil project works.

Responsible for Controlling all Documentation related activities in a project.

Support and coordinate with discipline with administration and control.

Data Entry of in carry/dispatch /Updating contracts.

Preparation of report through Excel, V lookup.

Document Control: -

Provide the full Secretarial and Documentation services to the project team and department heads for the projects progress

Prepare and Coordinate all activities related to the document control procedure.

Preparation of client letters and record keeping received and send letters to the various clients, consultants and other contractors.

Prepare and Maintain electronic register for letters, MOM, Memos, NCRs, RFIs, DCRs, and Reports, DPR, Safety and Quality related documents.

All Submittals – As per project policies and procedure.

Prepare, submit and receive log and distribute all outgoing documents.

Create and maintain tracker for drawing approval and technical submittals.

The documents, Drawing and Technical data are issued to the site team for implementation; any revision to this is to be immediately intimated to the site document.

Uploading all project related drawing received from consultant & MEP contractors and distributed al all concern people for review, inputs & approval. 3

Remove superseded drawings/technical data, and replace with more current data from site team.

Online document submission by uploading in client website.

Materials Submittals as per client required format.

Describing and creating the acknowledge letters for the clients through robotic document controller.

Listing out the documents and documenting the project details.

Follow up with Vendors/clients/Consultants about whether the emailed file has been received and notify them of any delay in response time.

Manual follow up with client’s internal team to get an expected schedule for all pending documents.

Using documents numbering and stamp system for maintain the documents.

Maintain documentation record in scan and hard copies.

Coordinate and prepare with project team for final closeout/Final dossier review and documentation.

Assist to project team to implement the company policies and procedure.

Assist Manager Projects in preparation of fortnightly and weekly report.

All project related report control and submission to Manager.

For auditing period submit the required documents to auditor. Admin/HR Document Control: -

Support to project head to project Team for all Administrative works (DLR, leave process, Daily & Monthly attendance monitoring, Vacation process, rejoining, medical claim, Passport request, Loan, bank document, salary certificate, OSP process and etc.)

Required training arrangements for staff and workers (First Aider & Fire fighter, Scaffolding Erection & Inspection, Equipment operation Training, Rigger, & etc.)

Invoices and Voucher Claiming for site & office staff’s.

Project Monthly invoices verifications.

Provide assistance to Finance department such as payments.

Raise the indent/Purchase for site and office staff’s requirements.

Record all incoming and outgoing correspondence related to Admin & Site team

Maintain General Files, Process of all paper work, and to perform Day to Day Administrative duties.

Attendance will be submitted through online (ERP system) on daily basis.

Daily Manpower Report will be monitoring and sending to Project manager

& Admin.

Employee Absent, Sick leave and Stand by will be report to Project admin and HR on Time.

Ensuring that all entries for overtime and compensatory time earned have been approved and total are correct before certification through online.

Claiming of petty cash for site and project team.

Maintaining Databases Preparation of Indent and LPO tracking.

Administration work of department & maintaining records.

Handling all contract related documents.

Filling of all Engineering documents.
