Duties & Responsibilities:

1.Supervised Clerical Staff of their duties and responsibilities such as; phone communications, clinic receptions, taking phone messages, transferring calls to various Departments, making appointments for patients.

2.Supervised the preparations and review of patient appointment schedules, ensuring their timely development for each month, with a minimum of error.

3.Inputs the clinic schedules for all residents, facility, nurse practitioners, PA and medical students in a monthly basis.

4.Retained an updated master list of appointments, responded to all changes as instructed by the scheduling coordinator of the Family Practice Residency Program and monitored and followed through of the appointment staff in doing all tasks related to the changes.

5.Clinic coordinator for telephone, computer and data/voice requisition for the clinic.

6.Oversees the day-to-day flow of Encounters/billing forms and record keeping for the Community Health Department.

7.Performed long /short range planning for improving the appointment area, communications, Information System as well as providing inputs in the planning of overall clinic.

8.Hiring and Orienting Sr. Clerks

a. Orients and trains all clerical staff on new procedures and policies.

b.Evaluates clerical staff in on-going basis for the annual performance appraisal reports.

c.Holds monthly clerical meetings.

d.Do the time sheet/payroll of Sr. Clerks & Nurse Practitioners

9. Management Duties.

a. Attended weekly administration meetings.

b.Communicated regularly with Family Health Center management team members and other clinic staff with regards to Clinic operations and solving existing or potential problems relating to patient appointments and clerical operations and Human Resources problems.

c.Meets with Nurse Manager on a weekly basis to discuss clerical issues and problems
