This role is responsible for the following key areas: (a) Facilities Management, that
includes Repairs and Maintenance of facilities equipment; (b) Security and Control of
premises; (c) General Services, including 3rd Party Contract Management and
Negotiation. This role is tasked to manage cost, ensure day-to-day operational
efficiencies, and drive quality support and integrity in delivery.
Facilities Management Services
Works in close coordination with PPMI and APMC building administrators as
regards facilities and equipment to be repaired/ renovated; endorse to immediate
superior planned repairs/renovations including cost estimates; randomly inspect
work in progress.
Responsible for the planning and management of building repairs and
renovations, implement plans and programs related to facilities management.
Identify and recommend facilities to be repaired/renovated; come up with cost
estimates and budget.
Conduct inspection on work progress of facilities being repaired/renovated as
against scope of work and work plans, report to superiors of any deviations or
delays, for appropriate action. Inspection includes materials and supplies used
viz-a-viz client specifications, plans and drawings.
Responsible in ensuring that third-party contractors perform maintenance
activities (aircon, pest control, plumbing, etc.) as stipulated in the preventive
maintenance contract or service agreement.
Manages facilities upkeep and housekeeping services.
Rationalizes office space planning requirements.
Review existing preventive maintenance service contracts subject for renewal
(incl. development of new contract); discuss PSE’s terms of reference with
contractors; seeks clearance from OGC before signing and execution of
contracts.
Ensures timely renewal of: (a) business (annual) permits & licenses; (b) various
insurance covers (building, fire, electronic equipment); (c) company vehicle
registration and insurance coverage
Ensure capability for emergency and readiness as well as business continuity and
contingency activities.
Security and Control Services
Enforcement of security protocols and rules to ensure a protected and safe
premises.
Provide security services for the Exchange’s external events and activities
Implement building security and maintenance systems and procedures.
Management of the third party vendors for security services
Ensure capability for emergency response and readiness of security personnel.
General Services
Ensures timely deliveries of documents and other messengerial services.
Provides efficient services for the schedule & usage meeting rooms and transport
services and efficient maintenance of company vehicles.
Ensures efficient reproduction services, and centralized receiving and releasing of
documents.
Contract management and negotiation for services of 3rd party vendors
Drafts department correspondences for review and approval of immediate
superior.
Ensures that all inquiries and requests for information regarding administrative

Writes and recommends policies relevant to rules and rule revisions regarding
building administration, security, messengerial services and all matters pertaining
