Keep office and Employee filing up-to-date. Conduct regular file cull for candidate files.

Assemble new employee files including all necessary forms and information.

Assist with staff queries regarding name badges, attendance, payroll, offer/appointment letters etc.

Maintain the strictest confidentiality at all times on matters pertaining to the company and its employees.

Monitor attendance on daily basis and reconcile with the leave taken to process payroll inputs during month end.

Responsible to process monthly payroll without any error and reconcile the statutory deduction made in the payroll to avoid any deviation.

Ensure administrative support is undertaken efficiently and professionally, including work/processing, new joinee’s formalities, answer telephone, filing, maintain notice boards, collect/distribute mail, purchase orders, expense vouchers, locker distribution, petty cash, and new employee documents.

Ensure all statutory recoveries [ESI/PF/LWF/P.TAX] paid on time without any delay.

Staff Recognition – coordinate Star Performer, recognition functions.

Maintain an efficient filing system (manual and computerized) to ensure easy access to all records and files.

Update Management with necessary monthly reports and any other reports preparation as and when required by the Management.

Assist with the preparation of training programs, including Orientation and other generic programs, completing all associated administration, eg. Orientation packs, invitations, certificates.

Maintain all office equipment and an adequate stock supply in the Human Resources Department.

Receive, register and sort incoming applications for employment and action accordingly. Screen applications to ensure they meet our requirements.

Assist new employees with all documentation that is required for completion upon commencement, ensuring all forms are complete and accurate prior to forwarding to Payroll.

Ensure adequate arrangements are made for staff terminations and maintain termination details, arrange exit interviews, certificates of service and archive terminated employee files regularly.

Comply with all Hotel Standards and Procedures.
