Admin & Finance Assistant

Job Description

The VPPD project is based in IPCS, University of Peshawar in collaboration with KP Home & Tribal Affairs Department, funded by UNDP Pakistan. In my role, I am responsible for overseeing administrative and financial operations of VPPD. Below is the brief of my duties:-

Drafting of monthly work plan and budget sheet as per input of UoP and UNDP for the operations of VPPD. Getting approvals from the officials.

File initiation and record keeping of the files for streamlining VPPD operations.

Maintenance of cashbook for recording all financial matters as per requirements of UoP.

Initiation and processing of monthly staff and intern salaries, getting approvals from higher authorities and get it done from Audit. Scanning and record keeping of the cheques issued and entry of same in cashbook.

Submitting of income tax cheques to FBR office.

Co-ordination with UNDP country office for submission of tranche requests, sharing of quarterly expenditure reports. Face form and financial report is submitted along with tranche request.

Co-ordination with bank for issuance of monthly account statements, issuance of blank cheque book, and comparison of the statements with cashbook for verification.

Processed the payments of research grants as per approved criteria and SOP.

Arranged and processed payments of different events conducted so far in VPPD, which includes Data Summit event, Ist CKP meeting etc.

Co-ordinated with vendors for arrangements of event and processing of payments against the submitted receipts.

Processing of University share payments and submission of cheque in University account in favor of Treasurer University of Peshawar.

Approvals and processing of payments for micro office procurements

Advance withdrawal of petty cash for VPPD operations, from which Internet bills, newspaper hawker bills and other miscellaneous payments are processed, all the receipts are submitted to Audit section for clearance and before issuance of next month petty cash.

Co-ordination with hawker in D.I.Khan for ensuring timely delivery of local newspapers from D.I.Khan.

Assisted with all administrative and logistical arrangements for meetings, workshops and conferences.

Ensured working environment for VPPD, which includes shifting of VPPD from SMT to new building, installation of ACs, UPS, and internet in new building.
