Job Description
Executive Assistant to the Director of R&D Facility and Staff
These functions included (but not limited to):
Purchase Order Handling
Maintained purchase order records and matched purchase orders to invoices and sent a weekly batch to the corporate office for payment of invoices.
Document Preparation
Prepared technical reports, design books, proposals and presentations.
Maintain SDS Index
Electronically maintained the SDS (Safety Data Sheets) through the MSDS on-line ebinder and on-site index. Maintained electronic listing for these cases.
Intellectual Property Coordination
Provided coordination of IP correspondence as received from our patent lawyers. This included coordinating and docketing cases that had important file and response dates, and notified management when decisions for specific cases were due to our lawyer group. Docketed and paid US maintenance fees as they were required. Provided a summary of recent activities on a monthly basis. Maintained electronic listing for these cases.
Contracts and Agreements Maintenance
Handled contracts and agreements that were executed (central file). These documents are added to a master electronic listing and filed for future use. All original documents were forward to our legal department at corporate office.
SOP Maintenance
Maintained the complete index of SOP’s (Standard Operating Procedures). This included making revisions and updating the index as needed, and issuing to all employees as needed. All files were stored electronically and are available for the entire company’s use.
Company Functions/Outings
Organized company functions (holidays and throughout the year), both on- and off-site. Researched caterers, possible activities and gift items.
Other
Kept managers informed of critical matters.
Travel arrangements, visa and passport handling.
Meeting arrangements: ordering and set-up of all in-house lunches. All necessary accommodations for out of town guests. Conference room scheduling via Outlook.
Handled day to day workload of preparing letters and memos, sending faxes, answering phone in a courteous manner and directing calls as necessary, preparing and sorting mail, preparation of courier packages for inside and outside the company.
