EXPERIENCE
February 2009 to Present; 40 hours per week, Contractor, Administrative
Support Assistance/Governance Support, Pentagon Force Protection Agency,
9000 Defense Pentagon, Washington, DC 20301-9000, Supervisor: Donald
Gendreau, Director, 703-***-**** or Gregory Goff, Deputy Director,
I currently serve as the Administrative Support Assistant for the Chief
Information Officer (CIO) Director and Deputy Director, Pentagon Force
Protection Agency (PFPA). I am responsible for performing administrative
support functions and staff work for the Director and Deputy Director and
their staff. I advise the Director and Deputy Director on all
administrative matters, applying knowledge of Department of Defense policy,
functions, and objectives; and records and correspondence management and
controls to accomplish assigned duties. As the CIO Support Assistant, my
daily responsibilities consist of reviewing daily and long-range calendars
events in order to determine appropriate meeting preparation requirements
and suspense actions. I compile and monitor materials for the Director's
Daily Book that include read-ahead materials; meeting attendee lists;
biographies; daily updates; and daily schedules for the Director and
Deputy. I discuss with the Director and Deputy on daily schedule planning,
reminding them of commitments made, matters that need their attention, and
suspense actions pending. Based on emerging issues, I rearrange schedules,
cancel engagements, or making other arrangements, ensuring that all persons
affected by these changes are promptly notified. All monitoring of
scheduled meetings and appropriate venues are conducted using Microsoft
Office Outlook Calendar. I review all incoming mail and determine which can
be handled personally, refer to subordinate officials, and which should be
forwarded to the personal attention of the Director. I compose replies to
correspondence from either personal knowledge of subject or based on verbal
instructions or rough draft by the Director or Deputy. I type a wide
variety of material including but not limited to memoranda, reports,
letters, and tables. Such items are produced in final form using an
assortment of office software, Microsoft Suite applications (Word, Access,
Excel, Power Point). I developed and maintain an internal suspense tracking
system for the control of daily incoming/outgoing correspondence and
actions. I am the principal advisor on all correspondence procedures and
administrative policies. I review and edit all incoming correspondence and
action documents for the Director's signature for quality, consistency,
format, and compliance with administrative and policy and ensure necessary
clearances have been obtained. I screen all incoming matters and funnel to
the Director for those requiring his personal attention. I coordinate all
necessary travel arrangements, arrange scheduled visits, make all airlines
and hotel reservations, submit appropriate Visiting Official Notifications.
During the Director's absence, I continually maintain communication to
ensure he is aware of any emerging issues that may require his immediate
attention. I prepare agenda for conferences, remit information/material
items to participants on subject and follow-up with after action reports
and/or required studies. I execute special assignments of high sensitivity
that frequently requires data analysis of facts and information for use of
the Director in reaching conclusions and making judgments.
