Exciting times at Aery! We are seeking to hire a Dispatch Flight Coordinator to our Newport News, VA location. The talented individuals we are seeking will be motivated, detail-oriented, eager to learn and work alongside our dynamic flight operation team members in our 24-hour dispatch center.

The primary role of a flight coordinator is to coordinate all aspects of air missions for our diverse clientele profile. Aery Aviation has flight operations bases in Newport News, VA, Cleveland, OH, Acworth, GA, Fort Lauderdale, FL, and Southern California.

Main Job Tasks and Responsibilities:

The chosen individuals will be trained to understand specific Aviation processes, receive inbound customer and passenger calls, and how to respond within 5-minutes to all requests including coordination of departure times, FBO locations, flight times, routing, ground transportation, catering, and other requests. They will be trained to follow the Aery Standardized Operating Procedures (SOP’s).

Ensure safe and legal coordination of scheduled flights and that all crew member duty times are scheduled in accordance with FAR 135 and Aery Aviation’s SOP’s, safety, security, and quality standards.

Ensure all ground handling, deicing, fuel, landing/departure slots, and landing/overfly permits are in order before releasing a flight.

Ensure all flights are released in compliance with the regulations and Aery Aviation procedures.

Coordinate with Maintenance Control to ensure the aircraft status will permit the intended operation to be conducted safely and in accordance with applicable aircraft airworthiness requirements.

Advise appropriate personnel of potential/actual delays and conditions affecting the safety of flight.

Responsible for crew logistics arranging/coordinating crew ground transportation and hotel accommodations, as well as commercial airline arrangements.

Prepare and distribute the trip schedule, observing duty, rest, and flight time requirements.

Communicate changes made to the flight schedule and/or tail number reassignments with the appropriate departments.

Ensure effective communications are maintained between all aircraft and medical crew members including flight following and vehicle position reports within prescribed timelines.

Coordinate with multiple medical agencies that transport patients into the Cleveland and Florida medical centers.

Responsible for all client communication and flight requests along with updates throughout the flight.

Responsible for scheduling the appropriate aircraft based on the flight requests, ensuring adequate duty time available, and ensuring optimal flight operations efficiency and timeliness response times.

Actively developing new relationships and developing a “preferred vendor” list of operators to always ensure aircraft availability. Qualify each vendor against our standards.

Responsible for securing supplemental lift when an Aery Aviation aircraft is not available for our client’s flight requests.

Monitor and amend logistics for all ongoing flights.

Always keep the schedule of availability up to date and broadcast the same to the customer as appropriate.

Upload all data into the Flight Operations System (FOS) and ensure each trip is closed out as required within 30 minutes of the last leg segment.

Complete auto and manual reporting as required.

Provide ultimate customer service to internal and external stakeholders.

Protects the privacy of patient information in accordance with Hospital Policy and HIPAA guidelines.

Qualifications (Required Knowledge, Skills, Certifications/Licenses):

Bachelor’s degree in business, aviation, or operations management is preferred.

Knowledge of FARs in regard to Part 91, 121, 125, or 135 airline operations is preferred.

Previous dispatch, EMS, and/or aviation experience is preferred.

Experience utilizing relevant aviation scheduling and dispatching software is preferred.

Proficency in MS Word, Excel, and Outlook.

Flexibility to work from the corporate flight operations office as well as remote.

Flexibility to work any assigned shifts including nights, weekends, holidays, and overtime.

Experience with customer service.

Ability to multi-task in a fast-paced environment.

Stress management, communication, and organizational proficiency.
