Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to our department. The ideal candidate will have 3–5 years of proven experience handling a wide range of administrative tasks with a high level of professionalism, efficiency, and confidentiality.
Key Responsibilities:
Manage and maintain calendars, schedule appointments, and coordinate meetings across multiple time zones.
Arrange domestic and international travel, including flight bookings, accommodations, ground transportation, and travel itineraries.
Prepare, review, and submit expense reports in a timely and accurate manner.
Provide front desk support, including greeting visitors, answering phone calls, and managing incoming mail and packages.
Support the team with document preparation, data entry, filing, and other general office tasks.
Coordinate logistics for internal and external meetings, including room bookings, catering, and materials preparation.
Maintain department files and records in accordance with company policies and procedures.
Qualifications:
3 to 5 years of administrative experience, preferably in a corporate or fast-paced environment.
Strong organizational and multitasking abilities with excellent attention to detail.
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office software.
Excellent communication skills, both written and verbal.
Ability to handle confidential information with discretion.
Proactive, reliable, and a strong team player.
Experience coordinating international travel and multi-time zone calendar management.
Familiarity with expense reporting systems (e.g., Concur, SAP).
