POSITION SUMMARY:
We are looking for a proactive and process-driven Sales Support Manager to lead and optimize our sales support operations, with a primary focus on improving the end-to-end RFQ to Order Entry process. This role will be critical in driving efficiency, consistency, and data accuracy across platforms such as CRM and SAP, while enhancing collaboration between the global Sales organization and the Sales Support team.
The ideal candidate will streamline workflows, reduce turnaround times, and ensure high standards of customer experience and data quality through clear metrics, training, and continuous process improvement.
DUTIES AND RESPONSIBILITIES:
Responsibilities:
1. RFQ to Order Entry Process Optimization
Own and optimize the complete RFQ to Order Entry lifecycle, from customer request to system entry of confirmed orders.
Achieve RFQ-to-Quote response within 24 hours by removing bottlenecks, improving communication, and automating where possible.
Ensure PO-to-Order entry is completed within 24 hours of receipt, while maintaining high accuracy and data integrity.
Work with cross-functional teams to eliminate inefficiencies in quoting, approvals, and order processing.
Improve order processing from other manufacturing facilities globally, ensuring alignment, transparency, and timely handoffs.
2. CRM and Data Integrity (CRM & SAP)
Collaborate with internal CRM and IT teams to optimize CRM workflows, automation, and integrations.
Maintain data integrity between CRM and SAP, resolving discrepancies and ensuring synchronized, real-time information.
Train Sales and Sales Support teams on accurate CRM data entry to improve forecasting, reporting, and operational decisions.
3. Reporting & Metrics
Build and maintain dashboards and reports to monitor pipeline health, quote responsiveness, order entry accuracy, and onboarding success.
Define and monitor performance KPIs such as:
RFQ-to-Quote turnaround time
PO-to-Order entry time
Order accuracy rate
Cycle time from RFQ to order
Quote conversion rates
Onboarding-to-cash timeline
4. Sales Support Team Leadership
Manage and coach the Sales Support team, aligning resources with Sales goals and service expectations.
Foster a culture of accountability, quality, and continuous improvement.
Act as the key liaison between global Sales teams and the support team to ensure shared goals and consistent execution.
5. Knowledge Management & Standardization
Establish and maintain a centralized knowledge base that documents processes, FAQs, templates, and SOPs.
Promote process consistency across teams and geographies through standardized tools and workflows.
MINIMUM QUALIFICATIONS:
Bachelor’s degree in business, Operations, Supply Chain, or related field.
5+ years of experience in sales operations, customer service, or supply chain support roles.
Proven track record in improving end-to-end sales and order processes (RFQ to Cash).
Strong experience with CRM and SAP ERP.
Excellent analytical, communication, and leadership skills.
Experience working in a global/multinational organization and managing cross-border processes.
Lean, Six Sigma, or process optimization certification is a plus.
