Assist Location Services Manager (LSM) with mailing, printing and binding financial reports, management letters, and proposals

Processing incoming and outgoing mail-including scanning, filing and replying--UPS and Magic Messenger package shipping and tracking, mailing paper confirmations

Assist with building tenant and lobby security team relations when required (Fire Drills, Send Word Now, etc.)

Coordinate routine and emergency maintenance of the office including carpets, conference rooms, security system, air conditioning, lighting, plant service, furniture repairs, appliances, office equipment, CO2 tanks, AED units. Submit invoices for these services to LSM

Assist with purchasing and maintaining inventory of office supplies, food, and equipment by monitoring inventory and requesting orders before depletion, restocking printer paper

Assist with parking access, validation, and building security badge activation and labelling

Maintain fluid front desk operations through routing calls when necessary, submitting and tracking catering orders, submitting building requests for visitors and service maintenance, setting up and taking down conference room tables, making coffee and popcorn daily, and daily restocking kitchen and break areas

Coordinate RSM New Hire Onboarding process with LSM

Provide support for Volunteer Day, ENG Programming, CDI events with LSM

Other duties as assigned Summary:

This position is responsible for ensuring that the employees at this facility are working in a safe and well-maintained office environment, by managing the front desk and relationships with the building landlord and outside vendors. This position ensures the office equipment and supplies--including furniture, phones, security cards and supplies--are organized and maintained.

EDUCATION

High School Diploma TECHNICAL SKILLS

Knowledge in Microsoft Word, Excel, Outlook

Strong written and verbal communication skills SPECIAL REQUIREMENTS SPECIFIC TO JOB

Some knowledge of security system software Facility Commander and Secure Perfect EXPERIENCE

2+ years' experience of Facilities related experience

2+ years' Administrative Assistant experience
