Program Coordinator – CLE Course Materials

Salary Range: $47,001 to $47,001 + Washington State Employee Benefits

The Program Coordinator – CLE (Continued Legal Education) Course Materials plays a central role in the WSBA’s (Washington State Bar Association) delivery of accredited seminars, conferences and online products by coordinating all steps in the process of producing professional quality electronic course books and materials, assisting with quality control relating to key seminar processes, and maintaining a library of templates that drive consistency in the look and feel of WSBA CLE course books and materials.Primary Job Duties and Responsibilities:
Support volunteers in submitting materials on time and within specified parameters
Communicate with volunteers about expectations for submission of written materials (content, deadlines, etc.) and provide reminders and feedback to ensure they meet the expectations. Provide clarity when needed around regulatory requirements for accreditation
Ensure volunteers have, resources, and information to shape presentation materials (e.g., PowerPoint)
Receive, track and acknowledge materials
Provide support to Education Programs Lead in quality control of Agenda and related items that are included in the course materials.
Update and inform the Education Programs Lead with progress and challenges
Compile and format materials for live events
Review materials for clarity, alignment with expectations, copyright/reprint permission, and style consistency. Work with volunteers to adjust as needed
Schedule status check meetings prior to each live event
Create layout in Adobe InDesign
Format pages and chapters for consistent style
Proof copy and create final coursebook for publication.
Copy edit, and upload the final coursebook online.
Prepare and convert materials for post-production product sale
Coordinate with CLE on-demand/publications team to validate what materials are needed to accompany post- event AV products in the online store
Update the coursebook after the live event.
Create the sale coursebook and post to the WSBA CLE Store, as applicable
Make and manage changes to materials in alignment with product needs
Maintain and update calendar of live CLEs and Events
Participate in CLE team process improvement initiatives and serve as back up assistance with day-of program support
Create and manage templates for course books and materials
Gather input from relevant stakeholders on quality and effectiveness of materials
Develop and refine templates used for seminar course books and materials
Contribute to CLE Publications team planning about course book related online products
Perform other duties as assignedEducation Required:
2 years of college, associate degree, or equivalent experience.Experience Required:
Project management, desktop publishing, web page, and publishing experience (especially in obtaining copyright releases) in a deadline-oriented environment; strong customer service experience, management of multiple projects simultaneously.
Experience with Adobe Pro and InDesignExperience Preferred:
Awareness and work with continuing legal education.Competencies (Skills/Abilities) Required:

Familiarity with member database and accounting-based systems
Independent thinking, decision making, and problem solving.Working Conditions:
This position, while primarily remote, must be flexible to work in office or travel within WA state as deemed necessary, or as required. This position may also have the option to work in-office. For remote work, must have an adequate home/work environment and internet access, for performing work of a highly sensitive and confidential nature.
Employment with the Washington State Bar Association mandates that WSBA Staff must reside within the State of Washington at the time of hire, and during active employment status.
The essential functions of the job that must be performed, with or without a reasonable accommodation: This position must be able to regularly work five days per week in an office type environment (remote or in office), possess the ability to primarily sit/stand and use a computer, and lift/push/pull items weighing up to 25 pounds. Must be able to operate a computer keyboard, and other standard office equipment (e.g., printer/scanner/fax/telephone).
