SOP Documentation Analyst

4+ Month Contract

Irving, Texas (remote option)

We have an IMMEDIATE job opening for an SOP Documentation Analyst to work with our client. This is a great opportunity to join a fantastic company that is number one in its industry. Our organization is setting a new expectation for adherence to process standards in how it buys goods and services using purchase requisitioning, purchase order creation, approvals, goods receipting, and invoice verification and approvals using configured workflows. This includes use cases that involve work order management involving ordering parts or scheduling contractors to perform maintenance needs.

The workforce is decentralized and heavily operational in nature across cement, aggregates, concrete, and other heavy building materials production sites. A large quantity of systems-based process documentation exists. However, the need is to make this documentation more consumable, clear, and useful to employees who work in production, maintenance, sales, or other field-based, operational departments. Which includes employees who may do these procedures sporadically vs. everyday/every week where habit formation can occur.

Specifically, this involves systems of SAP ERP modules in purchasing and maintenance modules and additional software with Ariba, Basware, Comarch, and EquipCheck.

What is key is the training documentation should be more comprehensive in nature and framed as how someone does their job and thinks critically through different situations vs. how someone clicks buttons inside systems. We are open to the documentation covering various modes including written words, visual diagraphs, one page cheat sheets, visual job aids, short videos, and other methods of capturing and conveying knowledge in a clear, modern, and consumable way for adult learners.

Responsibilities:

Process Standards Documentation:

Understand how process standards have been documented to date. What exists today and what additional is needed to fit the list of job roles that will be expected to do the work.

Meet with current employees who do these processes today and gather up any additional documentation they have self-made over the years to help us when it comes time to define procedures document.

Set up the structure for how procedures documents (“how tos“) should be documented so it is consumable, relevant, and helpful to an employee seeing these tasks for the first time and using them for ongoing reference, cross-training, or onboarding others to the role.

Procedures Documentation:

Work with Workstream Teams of process and systems experts to translate existing process standards documentation into this new structure and format.

Coaching process and systems experts in how to write job documentation and editing to make it better/more user-centric/more searchable and consumable.

Ensure this documentation provides step-by-step instructions for executing tasks, ensuring consistency and accuracy in operations. Key data points include the time it takes to complete each task, information needed to do the task, and other key contextual data points that make this go beyond software and systems training.

Ensure Built for Continuous Improvement:

Ensure any training documentation stands up as future reference points so they can refer back easily again and again.

Recommend methods to keep documentation current and more easily able to be updated and kept “alive“ for the future by corporate process owners and IT systems experts

Requirements:

Experience with purchasing, procurement, and AP processes.

Experience with software such as Ariba, Basware, Comarch, and/or EquipCheck.

Heavy documentation skills.

Highly organized and detail oriented.

Excellent written and verbal communication skills.

A bachelor's degree is desired.
