Scale Up Philippines is partnering with a leading integrated healthcare organization in the United States to hire a Medical Records & DocuRisk Specialist. This is a high-trust, compliance-sensitive role supporting a fast-paced orthopedic and pain management practice that serves patients across multiple clinic locations.
You will be a critical part of the back-office operations team — ensuring that medical records are processed accurately, securely, and in strict compliance with HIPAA regulations and the client’s internal documentation protocols. This role is ideal for someone with healthcare BPO or medical records experience who takes pride in accuracy, confidentiality, and operational reliability.
Key Responsibilities:
Medical Records Processing: Retrieve, review, organize, and fulfill medical records requests from patients, legal representatives, insurance companies, and other authorized parties — in accordance with HIPAA and organizational policies.
DocuRisk Management: Identify and flag documentation risk issues including incomplete records, authorization discrepancies, missing consent forms, and potential compliance exposures. Escalate findings to the appropriate team lead or compliance officer.
Authorization & Verification: Validate the identity and authorization of records requestors, including patients, legal guardians, attorneys, and third-party payers, before releasing any protected health information (PHI).
Records Coordination: Liaise with clinical staff, imaging departments, and referring providers to chase and compile complete patient records packages.
Data Entry & EHR Management: Accurately enter, update, and maintain records within Electronic Health Record (EHR) systems, ensuring data integrity across all patient files.
Turnaround & SLA Compliance: Ensure all records requests are fulfilled within required timeframes and tracked against established service level agreements (SLAs).
Reporting: Prepare daily and weekly logs of records requests received, processed, pending, and escalated. Flag backlogs or trends to supervisors proactively.
Confidentiality & HIPAA Compliance: Handle all patient information with the highest standard of discretion and in full compliance with US HIPAA regulations at all times.
Cross-Team Communication: Coordinate with front desk staff, medical assistants, billing, and legal teams to support seamless records flow across departments.
Qualifications:
Minimum 2 years of experience in medical records, health information management, or a related healthcare administrative role — preferably within a US-based healthcare BPO environment.
Solid understanding of HIPAA regulations and patient privacy requirements for handling protected health information (PHI).
DocuRisk or documentation compliance experience is a strong advantage — familiarity with audit trails, records retention schedules, and compliance risk flagging.
Proficient in EHR/EMR systems (e.g., Epic, Athenahealth, or similar platforms).
Experience with release of information (ROI) processes and third-party records platforms (e.g., Sharecare, Ciox, MRO) is a plus.
Excellent written English communication skills — able to communicate clearly with US-based clinical and administrative staff.
Highly organized with a strong attention to detail — accuracy in this role is non-negotiable.
Able to work independently and reliably with minimal supervision in a remote setup.
Comfortable working with sensitive patient data and exercising sound judgment at all times
