Office Manager
Location: Florence, KY
Schedule: Monday–Friday, 8:30 AM–4:30/5:00 PM
Employment Type: Full-Time
About the Position
We are a small, established construction company looking for a dependable and organized Office Manager to oversee the day-to-day administrative and financial operations of our office. This is a hands-on position that plays an important role in keeping our office, field operations, and accounting processes running smoothly.
The ideal candidate is detail-oriented, comfortable working independently, and has experience with construction accounting or a similar business environment. Experience with ComputerEase (or a comparable construction accounting software program) is strongly preferred.
Key Responsibilities
Accounting & Financial Administration
Manage Accounts Payable, including preparation of subcontractor checks
Manage Accounts Receivable and customer billings
Maintain and process General Ledger activities
Track and maintain computerized job and inventory records
Process employee timesheets and learn to assist with payroll
Assist with month-end, quarter-end, and year-end accounting and tax activities
Assist with preparation of W-2s and year-end financial documentation
Prepare reports and supporting documentation for the company's accountants at year-end
Employee & Benefits Administration
Administer healthcare benefits for approximately 17 employees
Maintain accurate employee records and related documentation
Assist with timesheet and payroll processes
Construction & Job Administration
Set up new jobs in the accounting system
Assist with executing and maintaining new contracts
Maintain documentation for construction projects, including prevailing wage jobs
Maintain job-related records and information in ComputerEase or similar software
Office & Field Support
Order and maintain office supplies
Order field and safety supplies, including hard hats, first-aid supplies, and materials for job gang boxes
Provide general administrative support to ensure the office and field teams have what they need to operate efficiently
Qualifications
Previous experience in office management, accounting, bookkeeping, or construction administration
Experience with ComputerEase or a similar construction accounting/job management software program strongly preferred
Knowledge of Accounts Payable, Accounts Receivable, billing, and General Ledger processes
Strong attention to detail and organizational skills
Ability to manage multiple responsibilities and deadlines
Comfortable handling confidential employee and financial information
Strong computer skills and willingness to learn new software and processes
Ability to work independently while communicating effectively with company leadership, employees, accountants, and field personnel
Construction industry experience is a plus, particularly experience with contracts or prevailing wage projects
