About the Role:
The Office Manager oversees the day-to-day operations of administrative tasks throughout the organization. Duties include payroll, manage staff, oversee accurate patient appointments, handle billing/invoices, and recruit & hire personnel.
Essential Job Duties & Responsibilities:
Ensure smooth administrative daily operations.
Supervise office staff, including Administrative Assistants and patient schedulers.
Complete companywide payroll.
Recruit, hire, and onboard personnel.
Evaluate staff performance.
Schedule appointments as needed.
Submission of medical claims and appeals.
Establish office policies and procedures.
Work with vendors to ensure fair pricing with appropriate features.
Maintain office supplies.
Monitor budget and resolve invoice payments.
Coordinate operations and communications between clinical staff and admin personnel.
Arrange cleaning staff and emergency maintenance services as necessary.
Generate inventory records.
Generate accounts receivable aging reports and prioritize claims appropriately.
Ensure compliance with current healthcare regulations, medical laws and high ethical standards.
Maintain HIPAA compliance.
Meet deadlines as assigned.
Qualifications:
Bachelor’s degree in Healthcare Administration, Business or relevant field, required.
Minimum 3 years work experience as a medical office manager and managing a team.
Proven knowledge of CPT coding, ICD-9 coding, and claims submission and appeals.
Proven knowledge of accounts payable, accounts receivable, data tracking and administrative processes.
Ability to handle medical records discreetly with strict adherence to HIPAA.
Working knowledge of medical issues and terminology.
Proficiency in all Microsoft products, EMR, AI, required.
Work Environment/Expectations:
This is a hybrid-based role. You will be expected to visit sites as needed.
