The first interaction a prospective client has with our firm often occurs during one of the most difficult times in their life.

We are looking for someone who is professional, compassionate, organized, and genuinely enjoys helping people.\n \n We believe every prospective client deserves to feel heard, respected, and supported from their very first interaction with our firm.\n \n The Client Intake Specialist plays an important role in creating a positive first impression and guiding prospective clients through the intake process.

While prior legal experience is helpful, it is not required.

Our clients trust us with highly personal information, and every interaction should reflect respect, empathy, sound judgment, and confidentiality.\n Responsibilities\n · Answer incoming calls and respond to online inquiries promptly and professionally.\n · Conduct intake interviews with prospective clients.\n · Gather and accurately document case information.\n · Enter and maintain accurate information in the firm’s client relationship management (CRM) system.\n · Record required intake metrics and client information in the firm’s daily reporting log.\n · Schedule consultations and confirm appointments.\n · Follow up with prospective clients as needed.\n · Process consultation payments.\n · Welcome clients and visitors in a professional and courteous manner.\n · Collaborate with attorneys and the administrative team to provide an exceptional client experience.\n · Participate in weekly meetings with the firm’s marketing team to review intake metrics, discuss trends, and identify opportunities to improve the client experience and intake process.\n · Assist with other administrative duties as assigned.\n \n What We’re Looking For\n The ideal candidate:\n · Enjoys helping people during difficult situations.\n · Communicates with professionalism, warmth, and confidence.\n · Treats every client with dignity and respect.\n · Maintains confidentiality and exercises good judgment.\n · Remains calm under pressure.\n · Is organized, dependable, and detail-oriented.\n · Enjoys working as part of a collaborative team.\n · Takes pride in providing exceptional customer service.\n · Is comfortable learning new technology and following established processes.\n · Appreciates that accurate documentation and reporting are essential to providing outstanding client service.\n \n Experience We Value\n Experience in any of the following is a plus:\n · Customer service\n · Hospitality\n · Medical or dental offices\n · Banking or financial services\n · Insurance\n · Executive or administrative support\n · Property management\n · Retail leadership\n \n Prior legal experience is appreciated but not required.\n Qualifications\n · High school diploma or GED required.\n · Two or more years of customer service, administrative, or client-facing experience preferred.\n · Strong verbal and written communication skills.\n · Proficiency with Microsoft Office.\n · Ability to learn new software and technology quickly.\n · Bilingual (English/Spanish) is a plus.\n · Ability to work full-time in our Houston office.
