Gove Environmental Services, Inc. (GES) is an established environmental consulting firm located in Exeter, New Hampshire. We provide wetland delineation, soil mapping, environmental permitting, and related consulting services throughout New Hampshire and New England. Our office works closely with property owners, engineers, developers, municipalities, and regulatory agencies.
GES is seeking a dependable, organized, and detail-oriented Part-Time Office Administrator / Bookkeeper to support our daily office and bookkeeping operations. This position is ideal for someone who is comfortable working independently in a small professional office, managing multiple priorities, and communicating with clients and project team members. The successful candidate will have prior administrative experience and working knowledge of QuickBooks, invoicing, accounts receivable, and accounts payable.
This is an in-person position at our Exeter, New Hampshire office, scheduled Monday through Friday from 9:00 a.m. to 2:00 p.m.
Responsibilities include, but are not limited to:
Perform routine accounts receivable and accounts payable functions.
Prepare and issue client invoices.
Record client payments, vendor bills, expenses, and other transactions in QuickBooks.
Monitor outstanding invoices and assist with payment follow-up.
Create new clients and projects within the company’s accounting and project-management systems.
Maintain accurate electronic and paper financial and project records.
Answer and direct incoming telephone calls.
Monitor general office email and respond or distribute messages as appropriate.
Communicate professionally with clients, consultants, municipalities, and other project contacts by telephone and email.
Assist with compiling, reviewing, copying, and organizing environmental permit applications and supporting documents.
Prepare abutter notification letters, certified-mail materials, and other project correspondence.
Complete certified mailings and maintain receipts and mailing records.
Process incoming and outgoing mail and deliveries.
Maintain office supplies and coordinate routine office needs.
Assist company management and technical staff with general administrative tasks.
Perform occasional local errands, mailings, and document deliveries as needed.
Required Qualifications
Prior experience in office administration, bookkeeping, or a comparable professional position.
Working knowledge of QuickBooks, including invoicing and accounts receivable and payable.
Proficiency with Microsoft Outlook, Word, and Excel.
Strong organizational skills and attention to detail.
Professional written and verbal communication skills.
Ability to manage multiple assignments and meet deadlines.
Ability to work independently and use good judgment in a small-office environment.
Ability to handle financial, client, employee, and project information confidentially.
Dependable attendance and punctuality.
Reliable transportation and a valid driver’s license.
Preferred Qualifications
Experience using QuickBooks Desktop.
Two or more years of office administration or bookkeeping experience.
Experience working in an environmental consulting, engineering, legal, permitting, or other professional-services office.
Experience assembling application packages, preparing certified mailings, or maintaining project files.
Experience monitoring accounts receivable and following up on outstanding invoices.
Compensation
The anticipated pay range is $24.00–$28.00 per hour, depending on the candidate’s relevant experience, demonstrated QuickBooks proficiency, and ability to independently perform invoicing, accounts receivable, accounts payable, and administrative responsibilities.
