Job Description
You will independently manage the Association office, reporting directly to the Board of Directors. Windover Farms of Melbourne is an established deed-restricted residential community in Melbourne, Florida, governed by a volunteer Board of Directors. The Board is seeking an experienced, self-directed Office Manager/Community Association Manager to run its single-person community office. This is a hands-on role with real responsibility: you are the face of the Association to homeowners and vendors, the keeper of its books and records, and the Board's guiding hand in the day-to-day operation of the community.
Key Responsibilities
· Homeowner service — staff the Association office during core hours; respond to homeowner questions, requests, and records inquiries promptly and professionally.
· Bookkeeping & financial records — maintain accurate books in QuickBooks, including homeowner assessment accounts, accounts payable and receivable, and account reconciliations; prepare financial reports for the Board.
· Funds handling — receive and log payments, make timely bank deposits, prepare and mail checks, and maintain the petty cash fund with itemized receipts and monthly reconciliation, all in accordance with Association cash-handling and security policies.
· Association records & software — maintain homeowner and Association records, including in the HOA Start platform; keep the community website and homeowner communications (newsletter, notices) current.
· Deed-restriction compliance — perform periodic community inspections, document violations, and prepare compliance correspondence under Board direction.
· Board and Committee(s) support — prepare meeting agendas, notices, minutes, and packets; obtain vendor estimates; coordinate vendors, support elections and service contracts.
· Manage vendors and maintenance person
· Communicate with other professionals — Keep attorneys and Accountants apprised of needs and issues.
· Recordkeeping & confidentiality — safeguard Association funds, banking information, and homeowner personal and financial information at all times.
