Position: Administrative Assistant
Reports to: Director will be assigned per dotted line responsibilities
Employment Status: Part-time, Full-Time, Temporary; non-exempt
Work Hours/Schedule: Center open Monday-Friday 7:00 am - 6:00 pm
Shifts depends on Center needs
Ranges from 30- 37.50 hours per week
Scope of Position:
To implement the Corning Children’s Center vision, values and goals while executing administrative tasks and interacting with the program’s families, staff and public
Required Education & Experience
Associate’s degree in Secretarial Science, Business Administration or equivalent work experience (preferred)
Day to Day Responsibilities
Functional responsibilities include:
Acts as primary point of contact with clients, prospective clients and the public, establishing and maintaining friendly, welcoming, cooperative relations with staff and families
Organizes and performs routine clerical functions including copying, filing, data entry, answering the phone, inventory management, and maintaining client attendance
Manages order processing and accounts payable
Maintains high standards of professional confidentiality
Assists with scheduling classroom substitutes, as needed
Secondary line of support to Operations and/or Development departments
Other special projects and responsibilities as assigned (i.e. committee work, fundraisers/events, etc.)
Dotted line duties as assigned
Skills and Experiences
Ability to handle sensitive and confidential information with discretion and sound judgment
Ability to interface and communicate (verbally and in writing) effectively with all levels of personnel internal and external to the Center and with various cultures
Strong problem-solving skills
Professional behaviors and positive demeanor
Detail oriented, manage multiple priorities
Excellent MS Office Suite, Outlook, and Excel skills; experience with graphic design helpful
Enthusiastic, positive, and self-motivated, but also comfortable to work as part of the team
Shows initiative (self-starter) and works independently on assignments and issues that arise
Physical Requirements:
Sedentary strength demands include exerting up to 10 pounds occasionally or negligible weights frequently; sitting most of the time
Continuously requires vision, hearing, and speaking
Frequently requires standing, fine dexterity, sitting, and handling
Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching Requirements:
We currently have two open Administrative Assistant positions.
Administrative Assistance dotted to finance - Assist with the finance department, basic accounting experience preferred. Ability to multi-task, attention to detail, and excellent computer skills.
Administrative Assistance dotted to Human Resource/ Director - Assist with general HR duties, preferred experience as HR assistant. Ability to multi-task, attention to detail, and excellent computer skills.
