About the Role As the Orientation Coordinator / Front Desk Receptionist, you'll coordinate all aspects of new hire orientation while providing professional reception coverage and administrative support. You'll ensure every new employee receives a positive onboarding experience while helping maintain the smooth daily operations of our facility.

What You'll Do

New Employee Orientation

Coordinate and schedule all new hire orientation sessions.

Communicate orientation schedules, expectations, and onboarding requirements.

Prepare orientation packets, name badges, and training materials.

Ensure completion of onboarding paperwork and required documentation.

Maintain accurate orientation attendance and training records.

Track required certifications, compliance training, and onboarding progress.

Coordinate facility tours and introductions for new employees.

Partner with Human Resources and department leaders to ensure a seamless onboarding experience.

Monitor orientation completion and provide status updates to leadership.

Ensure onboarding processes meet DBHDS, Joint Commission, licensing, and organizational standards.

Front Desk & Customer Service

Welcome visitors, families, vendors, applicants, and community partners with professionalism and courtesy.

Answer and direct incoming phone calls.

Manage visitor sign-in procedures and issue visitor badges.

Receive and distribute mail and deliveries.

Maintain a clean, organized, and welcoming reception area.

Respond to inquiries and direct guests to the appropriate department.

Administrative Support

Schedule meetings, interviews, and training sessions.

Maintain orientation and training calendars.

Prepare reports related to onboarding, training, and compliance.

Order office and orientation supplies.

Assist with filing, scanning, data entry, and document management.

Support Human Resources and Administration with special projects.

Maintain strict confidentiality of employee, resident, and organizational information.

What We're Looking For

Required Qualifications

High School Diploma or GED.

Minimum of two years of administrative, receptionist, human resources, or customer service experience.

Excellent customer service and communication skills.

Strong organizational and time management abilities.

Ability to multitask and manage competing priorities.

Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).

Strong attention to detail and ability to maintain confidentiality.

Preferred Qualifications:

Associate degree in Business Administration, Human Resources, or a related field.

Experience coordinating onboarding, orientation, scheduling, or employee training.

Valid driver's license with an acceptable driving record.
