Position Overview: We are seeking a highly organized and personable Front Office Coordinator to join our dynamic team at our Modesto location. The ideal candidate will have excellent communication skills, a friendly demeanor, and a strong ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our rehabilitation office by managing administrative tasks, coordinating patient appointments, and providing excellent customer service.
Key Responsibilities:
Reception Duties: Greet and check-in patients, answer phones, and respond to inquiries in a courteous and professional manner.
Appointment Scheduling: Manage appointment scheduling and rescheduling, ensuring optimal patient flow and minimal wait times.
Referral Management: Overseeing the process of handling referrals, ensuring that each referral is scheduled in an appropriate and timely manner. You will ensure that all referrals meet the necessary criteria for approval and documentation.
Authorization Coordination: responsible for obtaining and managing the proper authorizations for services, ensuring compliance with relevant regulations and procedures. This will involve liaising with insurance companies, healthcare providers, and other stakeholders to secure timely approvals.
Patient Records: Maintain accurate patient records, including intake forms and insurance information, while adhering to confidentiality regulations.
Insurance Verification: Verify patient insurance coverage and obtain necessary authorizations for services.
Administrative Tasks: Handle administrative tasks such as filing, faxing, and data entry. Process patient payments and manage billing inquiries.
Communication: Coordinate with therapists and other staff members to ensure effective communication and collaboration regarding patient care.
Office Maintenance: Ensure the front office area is clean, organized, and welcoming for patients.
Qualifications:
Experience: Previous experience in a medical or healthcare office setting preferred. Experience with physical therapy practices is a plus.
Skills: Proficiency in Microsoft Office Suite and familiarity with electronic medical record (EMR) systems. Excellent organizational and multitasking abilities.
Communication: Strong verbal and written communication skills. Ability to interact professionally with patients, staff, and healthcare providers. Bilingual in Spanish is a plus but not required.
Education: High school diploma or equivalent required. Additional certification or training in medical office administration is a plus.
